Overview This is a two-part, in-person role. Part of the day you work as a Customer Service Representative — answering phones, booking appointments, and taking care of customers. The rest of the week you handle the office and collections work that keeps our money moving: chasing down payments, running the mail and the bank, and being the local hands for our outside bookkeeper. Our actual bookkeeping — reconciliations, financial statements, payroll, and taxes — is handled by someone else. You are not the bookkeeper. Your job is everything that still has to happen in person and with someone who knows our customers and our
CRM:
collecting what we're owed, processing what comes in the mail, getting to the bank, and gathering the paperwork the bookkeeper needs. In short, you take a stack of recurring tasks off the owner's plate so nothing slips. You do not need accounting experience. You need to be reliable, organized, comfortable on the phone with customers about money, good with technology and our CRM, and willing to run errands and handle physical paperwork. Duties Customer Service / Dispatch (part of the week):
Answer inbound calls promptly and book appointments while the customer is on the phone
Return messages and missed calls the same day — nobody waits on us
Book, confirm and reschedule appointments accurately in the CRM
Keep customer records complete and current — notes, status, contact and payment details
Collections & Accounts Receivable:
Work the A/R aging report: call customers on past-due balances and follow up until paid
Take payments over the phone and in person; apply and record them against the right invoice in the CRM
Track deposits held and flag any account that needs to go to collections or a lien
Send invoices, receipts and payment reminders to customers
Mail, Bank & In-Person Office Work:
Collect, open and sort the daily mail; log any checks or payments that come in
Make bank runs — deposit checks and cash, and handle other bank errands
Run general errands that take work off the owner's plate (post office, supply pickups, drop-offs, filings)
Order, suspend and cancel employee spending/Bill cards and keep the receipts organized Support for the
Bookkeeper:
Gather and forward the documents the bookkeeper needs: receipts, statements, vendor W-9s and COIs
Scan and file paperwork so the bookkeeper has clean records to work from
Answer the bookkeeper's questions about specific customers, jobs or payments using the CRM
Flag discrepancies you spot (missing payments, duplicate charges) to the bookkeeper and the
