About the Role We're looking for an Escrow Officer for our Lakeland, TN office to own the full file lifecycle — from file open through funding, document review, and closing. Real estate agents make up the majority of our client base, so this role exists to deliver the fastest, most accurate, and most proactive service in the market to the agents, buyers, sellers, and lenders in every transaction. Because our platform is central to how we work, we're looking for someone who is genuinely tech-savvy: quick to learn new systems, comfortable troubleshooting on the fly, and excited to work inside a modern, digital-first closing process rather than around it. Real Estate Agent Partnership Serve as a trusted, responsive point of contact for real estate agents throughout the transaction — proactively sharing status updates rather than waiting to be asked. Anticipate agent, buyer, and seller needs and flag issues (title exceptions, payoff discrepancies, lender delays) before they threaten the closing date. Build lasting referral relationships by being the most reliable and communicative closer an agent works with — consistency and follow-through matter as much as speed. Clearly explain closing timelines, requirements, and next steps to agents and their clients in plain, confident language.
Key Responsibilities:
File Processing & Closing Review purchase contracts, lender closing instructions, and title commitments to identify and clear requirements and exceptions. Order and review mortgage payoffs, HOA estoppels, and municipal lien or tax certifications. Coordinate directly with lenders on closing disclosures, loan documents, and funding conditions. Manage escrow funding files — track incoming and outgoing wires, reconcile trust account ledgers, and prepare accurate disbursements. Draft closing documents, including deeds, affidavits, and settlement statements/Closing Disclosures. Schedule and coordinate closings/signings among agents, lenders, buyers, sellers, and attorneys. Review signed closing packages for accuracy and completeness prior to funding and recording. Facilitate final disbursement, recording, and post-closing follow-up through policy issuance. Answer client phone calls and emails, providing prompt, knowledgeable responses to title, escrow, and closing questions. Technology & Systems Proficiency (Key Requirement) CLOSED® is a technology-first title company, and this role is built around our digital platform. Strong candidates are naturally curious about software, pick up new tools quickly, and see technology as a way to serve clients faster and more accurately — not as a hurdle. Proficient with title/escrow production software (Qualia preferred) Comfortable learning and adopting new closing technology, e-signature platforms, and remote online notarization (RON) tools. Efficient with digital file management, e-recording systems, and wire/ACH platforms. Strong general computer skills across MS Office/Google Workspace and CRM or pipeline-management tools. Comfortable troubleshooting basic software issues independently and surfacing feedback to help us improve our internal systems. Technology Aptitude & Digital Fluency Fast learner of new software and platforms, with genuine enthusiasm for technology-enabled workflows. Digitally fluent across closing platforms, e-signature tools, and everyday business communication software. Communication & Coordination Clear, confident verbal and written communication with all parties to a transaction. Skilled at coordinating multiple stakeholders — agents, lenders, attorneys — toward a single closing date. Organization & Time Management Manages a multi-file pipeline with competing deadlines without losing accuracy. Self-motivated, dependable, and able to work independently with minimal oversight. Judgment & Problem-Solving Exercises sound judgment resolving title issues, document discrepancies, and last-minute closing challenges. Preferred Experience Prior experience as an escrow officer, closer, or title processor. Familiarity with Tennessee closing and title requirements is a plus. Active Notary Public commission a plus, or willingness to obtain one.
Compensation & Benefits Salary:
$60,000-$75,000 per year, based on experience. Medical, dental, and vision coverage. 401(k) with company match. Full-time, in-office position at our Lakeland office
