Job Overview Wildes Builders, an established high-end residential construction company, is looking for an experienced, full-time Office Manager to join our West Palm Beach office. This is a key position within our office, responsible for managing the day-to-day accounting, payroll, HR and administrative needs of the company. We are looking for an experienced professional who is organized, dependable and comfortable managing multiple responsibilities while working closely with company ownership and our project management and field teams. Our current retiring Office Manager will assist with training and transition of our existing systems and procedures.
Compensation & Schedule:
$40-$60 per hour, based on experience and qualifications. Candidates with significant experience across accounting/AP/AR, payroll, HR administration and construction office management may qualify toward the upper end of the range. What You'll Do Manage day-to-day accounts payable and accounts receivable, including vendor and subcontractor invoices, payments, and account reconciliation. Accurately process and record daily financial transactions, including coding, verifying, and posting accounting information. Reconcile accounts, cash receipts and bank deposits. Prepare monthly client invoices and payment applications with required supporting documentation. Prepare and process vendor and subcontractor payments. Manage weekly payroll, including collection and review of employee time. Maintain organized accounting files by client, project, subcontractor, and vendor. Manage employee records, onboarding/offboarding, PTO and general HR administration. Maintain subcontractor and vendor Certificates of Insurance, W-9s, licenses and compliance documentation. Monitor accounts receivable, research discrepancies and resolve billing or account issues. Coordinate with ownership, Project Managers, and our CPA on accounting and administrative matters. Manage general office needs, including supplies, scheduling, and administrative responsibilities. Help maintain and improve office procedures, organization, and day-to-day operations. What We're Looking For Relevant office management, bookkeeping and/or accounting experience. Strong hands-on AP/AR and payroll experience. Working knowledge of bookkeeping and account reconciliation. QuickBooks experience. Highly organized, accurate and detail oriented. Strong follow-through and ability to independently identify and resolve issues. Comfortable handling confidential employee and financial information. Comfortable communicating via phone and email with clients, trades, and employees. Strong Microsoft Office and Excel skills. Construction industry experience is a plus. Construction accounting experience is a plus. Sage construction/accounting software experience is a plus. Spanish-speaking is a plus.
