the Job Summary Swartzentruber Construction LLC is a growing construction company specializing in horizontal directional drilling, utility installation, septic systems, and excavation. We're looking for an experienced Office Manager who can oversee our office operations, accounting functions, payroll, and job costing systems. This is a key leadership position responsible for keeping our business organized, efficient, and running smoothly. Responsibilities Review payroll and verify job-coded labor (Paychex) Manage accounts payable (A/P) including vendor bills and purchasing Manage accounts receivable (A/R) and collections Support Project Managers to create quotes and bids Create and send invoices based on job progress and job tickets Perform job costing in QuickBooks (labor, materials, project tracking) Maintain accurate records in QuickBooks Online (QBO) Update job tracking and internal systems (Excel-based system) Ensure accuracy between field operations and accounting records Support project and operations teams with administrative coordination Requirements Qualifications 2+ years experience in QuickBooks (QBO preferred) Experience with payroll and job-based labor tracking Experience managing accounts payable (A/P) and accounts receivable (A/R) Strong experience with Microsoft Excel and computer systems Close attention to detail and accuracy Ability to manage multiple tasks in a fast-paced environment Strong organizational and communication skills Preferred Qualifications Experience in construction, utilities, or the contracting industry Experience with job costing / project-based accounting Experience with Paychex or similar payroll systems Experience supporting operations or field teams What Makes You Successful We're looking for someone who: Takes ownership of their work Loves organization and systems Is dependable and accountable Enjoys solving problems Works well with numbers and financial data Communicates effectively with office staff and field crews Wants to help a growing company succeed Why This Role Matters This is a key role in the company.
