The Business Office Manager & HR/Payroll Specialist is responsible for overseeing the facility's business office operations, payroll processing, and human resources functions. This role works closely with residents, families, employees, and leadership to ensure accurate financial records, regulatory compliance, employee support, and efficient administrative operations. Business Office Responsibilities Monitor resident demographics related to billing and payments to ensure accuracy. Maintain records for Medicaid, Medicare, managed care, and multiple primary and secondary payers. Manage patient billing, accounts receivable, collections, and month-end reconciliation processes. Post and reconcile cash receipts. Maintain resident trust accounting, reconciliation, and reporting. Assist residents and families with financial questions and payer source coordination. Work with State and Federal agencies, including DHS, APS, and SSA, to secure payer sources and benefits. Achieve maximum reimbursement for services provided. Coordinate with Admissions, Case Management, and other departments to ensure resident needs are met. Maintain business office systems, records, reports, and administrative programs. HR/Payroll Responsibilities Process facility payroll and maintain accurate payroll records. Maintain employee personnel files and employment records. Complete onboarding paperwork, employee status changes, and other employment documentation. Assist with benefits administration, including health, dental, and related employee benefit programs. Maintain OSHA logs, workers' compensation records, injury reports, and required HR documentation. Support hiring activities and assist with recruitment and new hire processes. Ensure compliance with company policies and applicable employment regulations. Support the Administrator and facility leadership with administrative and HR-related functions. Answer facility phones and provide receptionist support when needed. Qualifications Previous experience in business office management, payroll, human resources, bookkeeping, accounting, or healthcare administration preferred. Knowledge of Medicare, Medicaid, insurance billing, payroll, and HR practices is preferred. Strong organizational, communication, and customer service skills. Proficient computer skills, including Microsoft Office applications. Ability to manage multiple priorities while maintaining accuracy and attention to detail. Ability to maintain confidentiality and handle sensitive information professionally. Ability to pass a criminal background check. Benefits We offer competitive pay relative to experience.
