About the Role Rubicon Professional Services & Rubicon Technical Services are a U.S.-based organizations with operations and team members across multiple countries. We're seeking a detail-oriented and experienced Global Payroll Specialist to manage end-to-end payroll operations across our U.S. entities (RPS & RTS) and international workforce. This role is responsible for ensuring accurate, timely, and compliant payroll processing that includes salaries, benefits, garnishments, taxes, and deductions. Additionally, the role needs to maintain strong controls, support audits, and partner closely with US and international HR and Finance teams and external payroll providers. The ideal candidate brings hands-on experience with multi-state and multi-country payroll, a strong command of payroll tax compliance, and the ability to manage competing deadlines with precision and discretion. Key Responsibilities Payroll Processing & Systems
  • Implement, maintain, and review payroll processing systems to ensure timely and accurate processing of payroll transactions, including salaries, benefits, garnishments, taxes, and other deductions
  • Process RTS/RPS biweekly payroll from start to finish.
  • Process off-cycle payroll runs and corrections as needed
  • Maintain payroll deductions and payment elections
  • Maintain accurate payroll records and handle adjustments or corrections as needed U.S. Payroll Tax & Compliance
  • Register and maintain state payroll tax accounts, adding additional state Withholding and SUI accounts (including local jurisdictions) as necessary to maintain compliance
  • Keep all tax accounts current and in good standing
  • Complete year-end payroll and ACA reporting requirements
  • Process accurate and timely year-end reporting, including W-2 preparation and filing International Payroll
  • Own oversight of international payroll-related regulatory and compliance filings through our global payroll/EOR platform
  • Coordinate with external international payroll providers and internal teams to ensure timely, accurate payroll submissions
  • Support payroll-related audits and reporting requirements for international entities Benefits & Financial Reporting
  • Process and reconcile monthly benefit invoices
  • Prepare financial reporting from payroll outputs, including monthly accounting journal entries and employee detail reports
  • Support the preparation of semi-monthly, monthly, quarterly, and annual payroll reports Cross-Functional Collaboration & Employee Support
  • Resolve payroll discrepancies and respond to employee payroll inquiries promptly and professionally
  • Collaborate with US and international HR and Finance teams to identify and drive improvements to payroll processes and controls
  • Partner cross-functionally to validate payroll data flows and resolve system or integration issues
  • Support internal and external payroll audits with documentation and analysis as needed Qualifications
  • Bachelor's degree in Accounting, Finance, Business Administration, or related field (or equivalent work experience)
  • 3+ years of progressive payroll experience, including multi-state and multi-country payroll processing
  • Working knowledge of U.S. payroll tax compliance (state Withholding, SUI, local jurisdictions) and year-end reporting (W-2, ACA)
  • Experience with international payroll platforms and coordinating with external payroll/EOR providers strongly preferred
  • Proficiency with payroll and HRIS systems; strong Excel skills
  • Excellent analytical skills with high attention to detail and a strong controls mindset
  • Ability to manage sensitive, confidential information with discretion
  • Strong written and verbal communication skills, with the ability to explain payroll matters clearly to employees and stakeholders at all levels
  • Ability to manage multiple deadlines in a fast-paced, evolving environment
Preferred:
  • Certified Payroll Professional (CPP) designation Experience supporting a PE-backed, multi-entity, or professional services / construction organizations
Pay:
From $85,000.00 per year
