Job Description

Part-Time Bookkeeper / Office Administrator KACOA Landscaping, Inc. - Kingston, Illinois Position Summary KACOA Landscaping, Inc. is seeking a detail-oriented and organized Part-Time Bookkeeper / Office Administrator to oversee the company's day-to-day financial and administrative operations. This position is ideal for someone who enjoys working independently, maintaining accurate financial records, and supporting a growing landscaping and excavation company. The ideal candidate will have strong bookkeeping experience, excellent organizational skills, and the ability to manage multiple priorities while maintaining confidentiality. Schedule Part-Time (approximately 20-30 hours per week) Flexible weekday schedule Primarily in-office in Kingston, Illinois Primary ResponsibilitiesAccounting & Bookkeeping Perform weekly and monthly bank and credit card reconciliations Maintain accurate general ledger accounts Process and manage Accounts Payable (AP) Monitor outstanding customer balances and coordinate collection of delinquent accounts Record deposits and payments Maintain vendor files and W-9 documentation Process sales tax reporting, if applicable Prepare financial reports for ownership Assist with budgeting and cash flow tracking Complete monthly and year-end financial close procedures Coordinate with the company's CPA during tax preparation Payroll & Human Resources Coordinate payroll processing and verify employee hours Maintain payroll records Assist with prevailing wage and certified payroll reporting when required Process new employee onboarding paperwork Maintain employee personnel files Manage employee benefit enrollment and changes Coordinate health insurance administration Manage company 401(k) enrollments, changes, and annual compliance paperwork Assist with employee separations and final payroll documentation Insurance & Compliance Prepare annual Workers' Compensation audit reports Maintain Certificates of Insurance Coordinate insurance renewals Track vehicle and equipment insurance schedules Maintain business licenses and registrations Assist with OSHA and employment compliance documentation Qualifications Experience with QuickBooks Online (required) Strong knowledge of Accounts Payable, Accounts Receivable, and bank reconciliations Payroll experience preferred Knowledge of Microsoft Excel and Microsoft Office Strong organizational and time management skills Excellent attention to detail Ability to prioritize tasks and work independently Strong communication and customer service skills Experience in the construction, landscaping, or contractor industry is preferred Preferred Skills Experience preparing Workers' Compensation audits Familiarity with payroll tax reporting and quarterly filings Experience managing employee benefits and retirement plans Physical Requirements Ability to sit and work at a computer for extended periods Occasionally lift up to 20 pounds Ability to communicate effectively in person and over the phone What We Offer Flexible part-time schedule Competitive hourly compensation based on experience Positive, family-oriented work environment Opportunity to grow with an expanding company Meaningful role supporting a successful landscaping and excavation business
