Job Overview As an Accounting & Payroll Specialist , you will provide bookkeeping, accounting, and payroll support to a diverse portfolio of clients. This role is responsible for maintaining accurate financial records, recording and reconciling financial transactions, managing client accounting activity in QuickBooks, and preparing timely financial and management reports for client review. You will also oversee and support payroll processes, helping ensure employees are paid accurately and on time and that payroll activities are completed in accordance with applicable regulations. The position serves as a trusted resource to clients, addressing accounting and payroll questions, resolving discrepancies and issues, and proactively identifying opportunities to improve accuracy, efficiency, internal processes, and compliance. The ideal candidate has a strong understanding of the accounting cycle, financial reporting, Generally Accepted Accounting Principles (GAAP), and payroll processes. The successful candidate is detail-oriented, dependable, and analytical, with the ability to manage sensitive information, work across a variety of accounting and payroll systems, understand each client's unique needs, and build strong, long-term client relationships. Job Duties Maintain accurate and organized financial records for a diverse portfolio of clients, including general ledger accounts, income, expenditures, journal entries, and other financial transactions. Perform day-to-day bookkeeping using QuickBooks Desktop and QuickBooks Online, including transaction coding, account maintenance, general ledger activity, and account reviews. Prepare and post journal entries, ensuring transactions are properly classified, supported, and accurately recorded. Perform bank, balance sheet, payroll, payroll tax, and benefit account reconciliations; investigate discrepancies, identify variances, and make necessary corrections. Assist with month-end and year-end closing procedures, including account reviews, adjusting entries, reconciliations, supporting schedules, and related documentation. Prepare and analyze monthly, quarterly, and annual financial statements, management reports, payroll reports, and other accounting-related reports. Utilize Excel to organize, analyze, and document financial data, including general ledger information, reconciliations, supporting schedules, and financial reports. Analyze financial information to identify unusual transactions, discrepancies, trends, tax considerations, compliance risks, and opportunities for process improvement. Prepare individual federal and state income tax returns, including Form 1040, and business federal and state income tax returns, including Forms 1065, 1120-S, and 1120, accurately completing applicable schedules and supporting forms in accordance with federal, state, and local tax laws and filing requirements. Review and analyze client financial information to identify potential tax deductions, credits, tax issues, inconsistencies, and items requiring additional research or client clarification. Communicate with clients to obtain tax documents, resolve discrepancies, clarify financial information, and gather information necessary to accurately and timely complete tax returns. Maintain complete and organized tax files and supporting documentation in accordance with firm procedures and applicable requirements. Stay current with changes in federal and state tax laws, tax forms, filing requirements, and regulations affecting individual and business clients. Conduct payroll compliance reviews and evaluate client payroll processes, procedures, and internal controls to identify opportunities to improve accuracy, efficiency, and compliance. Prepare and review federal, state, and local payroll tax filings and payments, including quarterly and annual reporting such as Forms 941, 941-X, W-2, W-3, and applicable state and local filings. Research and interpret payroll laws and tax regulations and assist clients in addressing complex payroll, tax, and jurisdictional requirements. Review payroll practices, including employee classification, wage treatment, overtime calculations, tax withholdings, and other payroll-related matters. Assist with payroll system setup and configuration, including earnings, deductions, tax withholdings, and other payroll treatments. Collaborate with clients and internal team members to resolve accounting, tax, and payroll issues and provide accurate, timely, and practical solutions. Communicate accounting, tax, and payroll requirements, recommendations, and findings clearly to both technical and non-technical audiences. Maintain complete and well-organized supporting documentation for accounting, tax, and payroll transactions and ensure records are accurate, timely, and readily available for review. Prepare and contribute to client deliverables, documentation, and project work while effectively managing deadlines and maintaining high-quality standards. Requirements 3+ years of progressive bookkeeping and accounting experience, preferably in a public accounting firm, financial services environment, payroll service provider, or multi-client accounting setting. Associate or Bachelor's degree in Accounting, Business Administration, or a related field preferred. Strong understanding of the accounting cycle, including transaction recording, general ledger maintenance, journal entries, account reconciliations, adjusting entries, month-end and year-end closing procedures, and financial statement preparation. Strong working knowledge of QuickBooks Desktop and QuickBooks Online, including chart of accounts, transaction coding, journal entries, reconciliations, reporting, and financial statement preparation. Demonstrated experience preparing and reviewing financial statements, including balance sheets, income statements, and related financial reports. Strong understanding of payroll processes, payroll tax requirements, and federal, state, and local payroll regulations, including applicable filing requirements. Experience preparing and reviewing payroll tax forms and filings; familiarity with Forms 941, W-2, W-3, 941-X, and applicable state and local filings preferred. Familiarity with Centerpoint or similar payroll processing systems preferred. Certified Payroll Professional (CPP) certification or a willingness to pursue certification preferred. Strong analytical and problem-solving skills, with the ability to analyze financial and payroll information, investigate discrepancies, identify variances and compliance issues, and determine appropriate accounting treatment. Excellent attention to detail and a strong commitment to accuracy, quality, and maintaining complete and well-documented financial records. Strong organizational and time-management skills, with the ability to manage multiple clients, engagements, deadlines, and competing priorities in a fast-paced, team-oriented environment. Proficiency in Microsoft Excel and other Microsoft Office applications. Ability to handle confidential financial, payroll, tax, and client information with a high degree of discretion and professionalism. Strong written and verbal communication skills, with the ability to clearly explain accounting and payroll concepts, financial results, requirements, and issues to clients and internal team members.
