Job Purpose The Payroll Specialist is responsible for the accurate and timely processing of employee payroll while ensuring compliance with all federal, state, and local regulations, company policies, and payroll procedures. This role maintains payroll records, audits payroll data for accuracy, resolves payroll-related issues, and provides exceptional support to employees and managers regarding pay, deductions, taxes, and timekeeping. The Payroll Specialist works collaboratively with the Human Resources team, Finance, and operational teams to ensure payroll integrity, confidentiality, and positive employee experience. This position directly reports to the HR Manager. Essential Functions and Responsibilities Payroll Processing Process accurate and timely biweekly payroll for all employees in accordance with company policies and applicable federal, state, and local laws. Review, audit, and validate employee time records, earnings, deductions, taxes, direct deposits, garnishments, and benefit deductions prior to payroll processing. Process monthly and quarterly commission payments, ensuring calculations are accurate and approved by designated management personnel. Administer bonus payments and other supplemental earnings in accordance with company programs and approval requirements. Process off-cycle payrolls, special checks, corrections, final paychecks, retroactive payments, and payroll adjustments as needed. Ensure payroll transactions are completed within established processing deadlines and service level expectations. Payroll Administration & Compliance Maintain compliance with all applicable wage and hour laws, payroll tax regulations, and company payroll policies. Ensure accurate setup and maintenance of employee payroll records, tax withholding elections, direct deposit information, earnings codes, and deduction records. Process and monitor wage garnishments, tax levies, child support orders, and other court-ordered deductions. Coordinate payroll activities related to new hires, transfers, promotions, leave of absence transactions, and employee separations. Assist with year-end payroll activities, including W-2 preparation, audits, reconciliations, and correction requests. Maintain confidentiality of employee payroll, compensation, and personal information at all times. Payroll Auditing & Reconciliation Perform pre-payroll and post-payroll audits to ensure accuracy and identify discrepancies prior to payroll finalization. Reconcile payroll registers, payroll funding, tax liabilities, benefit deductions, and general ledger payroll accounts. Research and resolve payroll discrepancies, overpayments, underpayments, tax issues, and employee payroll inquiries. Review payroll data for trends, exceptions, and potential errors and recommend corrective actions when necessary. Support internal and external audits by providing payroll documentation and reports as requested. Reporting & Analytics Generate and distribute recurring payroll reports, including biweekly, monthly, quarterly, and year-end payroll reports. Prepare and analyze post-payroll reports to validate payroll accuracy, labor costs, commissions, overtime, deduction activity, and tax obligations. Create ad hoc payroll reports and spreadsheets for Human Resources, Finance, Accounting, Operations, and leadership teams. Assist in the preparation of payroll metrics, audits, reconciliations, and management reporting. Maintain accurate payroll records and reporting documentation in accordance with record retention requirements. Employee & Customer Service Support Serve as the primary point of contact for employee payroll-related questions regarding pay, taxes, deductions, direct deposits, etc. Provide timely and professional support to employees, managers, Human Resources, and Finance regarding payroll processes and procedures. Educate employees on payroll policies, tax forms, direct deposit enrollment, and payroll system functionality. Systems & Process Improvement Maintain knowledge of payroll systems, timekeeping systems, and payroll-related technology. Identify opportunities to improve payroll processes, controls, efficiencies, accuracy, and reporting capabilities. Participate in payroll system testing, upgrades, implementations, and process improvement initiatives. Assist with documenting payroll procedures and maintaining payroll process documentation and standard operating procedures (SOPs). Support HR and Finance projects that impact payroll operations. Other Duties Partner closely with Human Resources, Benefits, Finance, and operational leaders to ensure payroll-related activities are completed accurately and efficiently. Perform other payroll, reporting, and HR administrative duties as assigned. Knowledge, Skill, and Ability requirements Ability to manage multiple deadlines and priorities in a fast-paced environment. High attention to detail and accuracy. Strong analytical, organizational, and problem-solving skills. Excellent customer service skills and ability to build rapport with multiple levels of management Ability to handle confidential information with discretion and professionalism. Proficiency with payroll software, HRIS systems, Microsoft Excel, and reporting tools. Education and Experience Bachelor's degree in human resources, accounting, or related field or equivalent years of experience required Knowledge of common state and federal employment laws and regulations 4 years of experience processing payroll and human resources required Certified Payroll Professional (CPP) certification preferred Advanced proficiency with Microsoft Office applications, including Word and Excel, and experience using PDF creation/editing tools preferred UKG payroll software experience highly preferred Physical Demands While performing the duties of this job, the employee must be alert and is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. The employee is occasionally required to sit; climb or balance; and stoop, kneel, crouch or crawl. The employee must occasionally lift and/or move up to 25 pounds. Working Conditions and Additional Requirements This job operates in an office environment. This position is eligible to work remotely up to two days per week after completion of the initial 90-day new hire/training period, subject to business needs, performance expectations, and manager approval. Office hours are from 8:00am to 5:00pm with occasional needs outside standard business hours to accommodate meetings, training and projects. Some travel may be required. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. While performing the duties of this job, the employee is occasionally exposed to fumes or airborne particles, moving mechanical parts and vibration. The noise level in the work environment can be loud.
