Financial Advisor Operations Assistant to the March Wealth Advisory Team at Barnum Financial The vision at Barnum Financial Group is to become the premier provider of financial services within the U.S. with the mission to positively impact the lives of each other and our clients. The March Financial Team at Barnum Financial Group is looking for administrative assistant who can amplify our brand and help our clients as they move towards financial freedom. The Financial Advisor Operations Assistant plays a critical role in supporting the advisor's day-to-day operations, ensuring a high level of client service and operational efficiency. This individual serves as a key point of contact for clients, manages administrative workflows, and helps maintain consistent and elevated client experience.

Key Responsibilities:

Client Service & Relationship Management Serve as a primary point of contact for client inquiries, delivering timely, professional, and courteous service Proactively communicate with clients regarding account updates, service needs, and follow-ups Maintain and execute the team's client service model to ensure a consistent and high-quality client experience Assist in preparing for client meetings, including gathering documents and organizing materials Scheduling & Coordination Contact clients to schedule, confirm, and follow up on appointments Manage advisor calendars, ensuring efficient time utilization and proper meeting preparation Coordinate logistics for in-person and virtual meetings Application Processing & Operations Prepare, submit, and track life insurance and investment applications Ensure all paperwork is accurate, complete, and compliant with regulatory requirements Follow up with carriers, custodians, and internal teams to resolve outstanding items and expedite processing Ensure advisors are meeting firm compliance requirements for record keeping, notes, files and continuing education Assist advisors in managing licensing CRM & Data Management Maintain accurate and up-to-date client records in the CRM system Document all client interactions, updates, and service requests Generate reports and track key client service metrics as needed Administrative Support Assist with general office operations and administrative tasks Support marketing or client outreach initiatives as needed (event coordination, communications, etc.) Help identify opportunities to improve processes and enhance operational efficiency

Qualifications:

2+ years of experience in a financial services, administrative, or client service role preferred Strong organizational skills with high attention to detail Excellent verbal and written communication skills Ability to manage multiple priorities and meet deadlines in a fast-paced environment Proficiency with CRM systems and Microsoft Office (or similar tools) Professional demeanor with a client-first mindset

Preferred Attributes:

Experience with life insurance and investment application processing Familiarity with financial industry compliance and documentation standards Strong problem-solving skills and a proactive approach to client service
