Position Summary The Tax Production Manager owns the flow of tax work through the firm from the moment an engagement is accepted through final delivery of the completed return. This is the role that keeps the season on schedule: tracking every client's status, routing returns to the right preparer, protecting deadlines, and managing electronic filing and final output. Success in this position is measured by throughput, accuracy of the production record, and the fact that no deadline is ever missed. This is a process-ownership role rather than a technical review role, though a working understanding of tax return mechanics is essential. Key Responsibilities Client Intake Receive and log incoming client engagements, organizers, and source documents Confirm completeness of information received and follow up on missing items Establish each client's record in the production system at the outset of the engagement Tax Status List and Pipeline Management Maintain the firm's master tax status list as the single authoritative record of where every return stands Assign returns to preparers based on complexity, capacity, and client requirements Monitor the preparation pipeline daily and escalate bottlenecks, stalled files, and capacity constraints Report production status to firm leadership on a regular cadence Deadline Management Maintain the firm's calendar of federal, California, and multistate filing deadlines, including extended due dates and estimated payment dates Track extensions filed and confirm all extended returns are completed within the extended period Drive the schedule so that every return is completed, reviewed, and filed on or before its due date Electronic Filing Manage the firm's e-filing function end to end, including transmission, acknowledgment tracking, and rejection resolution Confirm and document acceptance for every return transmitted Maintain e-file authorization records and retention documentation Output and Delivery Print completed returns to PDF in the firm's standard format Assign and route finished returns to the correct client office location Maintain organized, retrievable digital files for all delivered work product Qualifications Required [3+] years of experience in a public accounting or tax preparation environment Demonstrated experience managing workflow, production tracking, or scheduling in a deadline-driven setting Working knowledge of federal and California individual, business, and fiduciary return types and their filing deadlines Hands-on experience with electronic filing, including resolving rejections Proficiency with professional tax software [specify: CCH Axcess, UltraTax, Lacerte, ProSystem fx, Drake] and Microsoft Excel Exceptional organizational discipline and attention to detail Clear, professional written and verbal communication with clients and staff Preferred Prior experience maintaining a firm-wide tax status list or comparable production tracking system Experience in a multi-office or multi-location practice Familiarity with document management and secure client portal systems
