The Role We're looking for an organized, detail-oriented Referral Services Specialist to help ensure our patients experience seamless, coordinated care. In this role, you'll oversee outgoing and incoming referrals, coordinate medical records, manage release of information (ROI) requests, and serve as a vital connection between our clinic, specialists, hospitals, and other healthcare organizations. Your work will play a critical role in helping our providers deliver timely, comprehensive care. What You'll Do Process outgoing referrals to specialists, imaging centers, hospitals, and community resources Receive and process incoming referrals, ensuring they are routed appropriately for insurance verification and scheduling Track referral status and follow up with specialty offices to ensure patients receive timely care Research referral resources and specialty providers to support clinicians and clinic leadership Request, send, and track medical records, including imaging and outside documentation Manage Release of Information (ROI) requests and Medical Record Authorization forms while maintaining HIPAA compliance Ensure appropriate handling of sensitive and confidential medical records Manage referral workflows within Practice Fusion, including confirming receipt of referrals, requesting outside records, and routing documentation to providers Maintain accurate referral directories and shared clinic resources Confirm specialist appointments and ensure consultation notes are received and attached to patient charts Resolve referral, medical record, and ROI-related issues in collaboration with internal and external teams Assist with additional administrative as needed What We're Looking For At least 1 year of experience in medical referrals, care coordination, medical records, administrative support, or a related medical office role Strong understanding of healthcare referrals, HIPAA, and Release of Information (ROI) processes Excellent organizational skills with exceptional attention to detail Ability to manage multiple priorities in a fast-paced healthcare environment Strong communication and customer service skills when working with patients, providers, insurance companies, and outside organizations Comfortable working independently while collaborating with a multidisciplinary team Experience with Practice Fusion, Spruce, or electronic health record systems preferred (training provided for the right candidate) Compassionate, professional, and committed to providing exceptional patient care Schedule Tuesday
