Job Title:
Genetic Counseling Assistant / Front Desk Coordinator Position Summary We are seeking a reliable and detail-oriented Genetic Counseling Assistant to support both clinical and front desk operations within our clinic. This role plays an important part in ensuring patients receive timely, coordinated genetic care while also contributing to a smooth and welcoming clinic experience. The position involves working closely with genetic counselors to manage patient communication, coordinate testing, place orders, and track results, while also assisting with front desk responsibilities such as scheduling and patient intake. The ideal candidate is organized, proactive, and comfortable balancing both patient-facing and administrative tasks. Key Responsibilities Clinical & Genetic Counseling Support - 70% of time Assist genetic counselors with patient coordination and day-to-day clinical support Maintain a strong understanding of insurance and laboratory billing policies Obtain medical records, contact patients to gather additional information as needed and upload to appropriate section in patient's chart. Place genetic test orders in laboratory portals and document accurately in the EMR Track orders and monitor progress to ensure timely processing Respond to laboratory communications and provide requested information or coordinate additional samples Monitor shipment and receipt of samples; follow up with patients if needed Maintain tracking systems for patients awaiting results and follow up on delays Assist with insurance authorizations and submission of supporting documentation to health insurance companies/payors as appropriate. Assist with patient communications when reflexing or switching genetic testing strategy and when applying to financial assistance program. Maintain inventory of lab kits and supplies; reorder as needed Serve as a point of contact for laboratory inquiries and patient-to-lab coordination Coordinate writing and sending off family letters as needed Front Desk & Administrative Support - 30% of time Greet patients and provide a professional and welcoming front desk experience Answer phones, respond to inquiries, and route messages appropriately Schedule, confirm, and manage patient appointments Support check-in/check-out processes and overall clinic flow Assist with general administrative tasks such as scanning, faxing, and document management
Qualifications Required:
Previous experience in a healthcare setting General understanding of healthcare workflows, policies, and procedures Knowledge of ICD-10 and CPT coding Experience with insurance authorization processes Strong organizational skills and attention to detail Effective communication and interpersonal skills Ability to manage multiple priorities in a fast-paced environment Ability to work well independently
Preferred:
Experience with genetic testing workflows OR specialty care coordination Familiarity with EMR systems Nice to have but not necessary: Curious about genetic contributions to disease and genetics in general is a plus Molecular biology or genetics-related subject/project in school or college is a plus
Pay:
$19.75 - $23.00 per hour Expected hours: 40.0 per week
