YOUR ROLE
The Patient Care Coordinator is the first voice and face our patients experience — and often the last impression they leave with. This role owns the full patient journey from the front desk: scheduling, check-in, payments, consents, and communication, all handled with precision, warmth, and speed. We're looking for someone genuinely Type A — organized, detail-obsessed, and calm under a full schedule — who takes pride in running a tight, efficient front office without ever losing the personal touch that makes patients feel taken care of. This position requires a minimum of 3 days per week and Sundays (we are closed Saturdays), with some flexibility for coverage as needed. This role also includes occasional participation in our social media content — you'll be comfortable being on camera and representing the SDA brand alongside our clinical team.
ABOUT YOU
You have a minimum of 2 years of experience in a medical office, medical spa, or medical aesthetic practice — you understand patient care in a clinical setting, not just retail customer service. You are genuinely
Type A:
highly organized, detail-oriented, and energized by keeping a fast-moving front desk running smoothly. You've worked in a client-facing or customer service role and know how to read a room, de-escalate calmly, and make people feel welcome and informed. You have polished phone etiquette and know how to manage a multi-line phone system while attending to patients in front of you. You understand the importance of patient confidentiality and are comfortable following HIPAA guidelines when handling medical intake, consents, and records. You're comfortable processing payments, deposits, and point-of-sale transactions, and you're not afraid to speak to add-on services, packages, or memberships when it's a genuine fit for the patient. You manage competing priorities — the phone, the front desk, and a patient standing in front of you — without dropping the ball on any of them. You're time-efficient and move with urgency, without ever making a patient feel rushed. You're tech-savvy and pick up scheduling/EMR software quickly You're open to being part of our social media content and representing SDA on camera when needed. You're available to work Sundays.
Bonus:
familiarity with aesthetic treatments, injectables, or the med spa industry.
KEY RESPONSIBILITIES
Scheduling & Appointment Flow Manage the daily patient schedule to keep the clinic running on time. Maintain and work the waitlist, filling openings and handling reschedules proactively. Enforce booking fees and cancellation policies consistently and professionally. Patient Care Coordination Serve as the primary point of contact for patients before, during, and after their visits, by phone, email, and in person. Walk patients through consent forms, treatment policies, and pre/post-care instructions clearly and accurately, while maintaining HIPAA compliance and patient confidentiality at every step. Anticipate what a patient needs before they have to ask — from treatment questions to logistics. Front Office, Payments & Sales Process payments, deposits, POS transactions, and cancellations with precision — no dropped details. Maintain accurate, organized patient records and consent documentation. Confidently present and close on packages, memberships, and add-on services when appropriate for the patient. Keep the front office clean, welcoming, and running like a well-oiled machine. Respond to patient inquiries across phone, email, and social/DMs in a timely, professional manner. Team & Brand Contribution Work closely with the clinical team to keep the patient experience seamless from check-in to check-out. Flag and help solve operational hiccups before they become patient-facing problems. Participate in occasional social content and team content days.
