Job Description

Office Manager Location:
Natick, MA (209 W Central St / Hybrid & Local Coverage as Needed)
Position Type:
Full-Time, Non-Exempt (40 hrs/week) | About Holistic Well At Holistic Well, we provide whole-person, patient-centered mental health care that goes beyond symptoms. We are seeking an experienced Office Manager to lead front-office operations, support our administrative team, and create a warm, seamless, and welcoming environment for the clients and clinicians we serve. The Opportunity As the Office Manager, you will oversee day-to-day front desk operations, supervise Office Specialists, and ensure smooth administrative coordination between administrative staff, billing, and our clinical team. You will serve as a key operational anchor, supporting client intake, scheduling, HIPAA compliance, and overall practice workflow. Key Responsibilities 1.
Operational & Front Desk Supervision Team Leadership:
Supervise front-office staff in day-to-day tasks, including client check-ins/check-outs in the Electronic Health Record (EHR), co-pay collection, record updates, and client communications.
Staffing & Scheduling:
Manage daily front desk coverage, conduct staff onboarding/training, and assist with recruiting and interviewing administrative team members.
Service Excellence:
Foster a compassionate, professional, and customer-service-driven front office environment; handle non-routine client inquiries or operational issues with empathy and efficiency. 2.
Clinical & Interdepartmental Collaboration Clinical Team Support:
Work hand-in-hand with the clinical team and Owner, updating and blocking clinician schedules, assisting with onboarding new prescribers/clinicians, and facilitating client intakes/referrals.
Billing & Insurance Coordination:
Partner with the Billing department on insurance authorizations, co-payments, and resolving client coverage details.
Team Meetings:
Attend weekly staff meetings, document minutes, and ensure clear communication flows between leadership, administrative staff, and clinicians. 3.
Administrative & Practice Management EHR & Compliance:
Provide ongoing EHR training and support for administrative staff, ensuring strict adherence to HIPAA privacy standards and practice policies.
Facilities & Inventory:
Maintain office supply inventory, manage incoming/outgoing mail.
Reporting:
Maintain administrative spreadsheets and record-keeping to support operational oversight.
Qualifications Required:
Education & Experience:
Associates degree in Human Services, Health Administration. Or 2+ years of relevant office management experience involving direct public contact.
Technical Skills:
Proficiency in MS Office Suite, Windows, and Electronic Health Record (EHR) systems.
Regulatory Knowledge:
Strong familiarity with HIPAA Privacy and Security Rules, as well as general health insurance commercial plans).
Preferred:
Supervisory or team leadership experience in a healthcare or behavioral health setting. Experience with specialized EHR systems (e.g., Tebra or similar platforms)
