Full Job Description Dental Practice Operations/ Insurance Coordinator Location:
Wakefield, MA Schedule:
Monday-Thursday, 4 days per week

About Us We are a well-established, privately owned solo general dental practice in Wakefield, MA.
We pride ourselves on providing personalized, high-quality dentistry in a warm, welcoming environment where patients are treated like people- not numbers. We are looking for an experienced Dental Practice Operations/ Insurance Coordinator who can become an integral part of our small team. This is a hands-on position for someone who is highly organized, financially minded, comfortable taking ownership, and understands that a successful dental practice requires both strong business systems and exceptional patient care. The Role Our ideal candidate is an experienced dental professional who is highly proficient in Eaglesoft, has a strong understanding of dental insurance and the revenue cycle, and knows how to use practice financial information to identify opportunities for improvement and growth. You should be someone who can look at an insurance aging report, production and collection numbers, outstanding claims, scheduling, and other practice metrics and understand what the numbers are telling you and what needs to be done about them. Just as importantly, you must genuinely enjoy working with people. Hospitality and patient experience are extremely important to us. We want someone who is warm, professional, confident, and able to make patients feel well cared for. Key Responsibilities Eaglesoft & Practice Management
Be highly proficient in Eaglesoft and serve as a resource for the team
Maintain accurate patient, insurance, financial, and account information
Utilize Eaglesoft reports to monitor practice performance and identify opportunities for improvement
Help optimize scheduling, patient flow, and front-office systems
Identify problems and take initiative to find solutions Dental Insurance & Revenue Cycle
Verify insurance eligibility and benefits
Understand dental insurance policies, limitations, frequencies, downgrades, waiting periods, and coordination of benefits
Prepare accurate treatment estimates and financial arrangements
Submit, track, and follow up on insurance claims
Manage outstanding claims and insurance aging
Research and resolve denied, delayed, or underpaid claims
Handle insurance appeals and necessary documentation
Accurately post insurance payments, adjustments, and patient payments
Monitor accounts receivable and help improve overall collections Practice Financials, KPIs & Growth
Monitor key practice performance indicators and financial reports
Identify trends and opportunities that can improve practice efficiency and profitability
Work with the dentist/owner to establish goals and implement improvements
Help ensure the practice is operating efficiently while maintaining a high standard of patient care Patient Experience & Hospitality
Create a welcoming, professional, and personalized experience for every patient
Communicate treatment costs and insurance information clearly and confidently
Help patients understand their financial options without making them feel pressured
Handle patient questions and concerns with professionalism, empathy, and good judgment
Maintain the warm, personal atmosphere that is important to a small private practice Team & Office Support
Provide guidance and support to front-office
Help establish efficient systems and accountability
Communicate closely with the dentist and office manager regarding office needs and opportunities
Help maintain a positive, respectful, and collaborative team environment
What We Are Looking For Required:
Strong dental office experience
Advanced Eaglesoft knowledge
Extensive knowledge of dental insurance and claims
Experience with insurance verification, treatment estimates, claims follow-up, denials, and AR
Understanding of dental practice financial reports and KPIs
Strong organizational and problem-solving skills
Excellent communication and interpersonal skills
Ability to work independently and take ownership
Exceptional patient service and hospitality skills
Preferred:
Previous dental office lead front-office experience
5+ years of dental administrative/front-office experience
Experience with insurance aging, collections, and claim resolution
Experience using Eaglesoft reports to monitor practice performance
