Job Description

Patient Experience & Clinical Coordinator Full-Time | Monday-Thursday 9:00 AM-5:00 PM There is a small amount of potential flexibility in hours, for the right individual. $22-$28/hour, based on experience + performance bonus Roughly 90% of days will be in-person. There will be advance notice on which days are virtual. We are looking for an exceptional Patient Experience & Clinical Coordinator to join our growing specialty eye care practice. This is not a traditional front-desk position, and it is not a high-pressure sales position. We are looking for someone who combines warmth, confidence, excellent communication skills, emotional intelligence, and attention to detail with an interest in learning advanced clinical technology. Approximately ~60% of this role focuses on communicating with prospective and new patients, while the ~40% involves working directly with patients and doctors in the clinic. Many of the patients who contact our practice have complicated eye conditions and have spent years struggling with their vision or contact lenses. Some have been told there are no good options for them. Our practice specializes in advanced contact lens technology and frequently has the opportunity to dramatically improve a patient's vision, comfort, and quality of life. For many patients, you will be their first interaction with our practice. We want that interaction to feel different. The Person We're Looking For You may be a great fit if you are someone who: Is naturally warm, personable, polished, and empathetic Communicates with confidence and professionalism Has an excellent telephone presence and genuinely enjoys talking with people Can lead a conversation without making someone feel pressured Is comfortable asking thoughtful questions and really listening to the answers Can explain complicated information in a way that feels simple and conversational Is persuasive without being pushy Is comfortable discussing fees and financial considerations directly Doesn't sound like you're reading from a script, even when following a defined process Is proactive and follows through without needing constant reminders Notices small details and takes pride in creating an organized, polished environment Enjoys learning new technology and doesn't feel intimidated by sophisticated medical equipment Can shift comfortably between speaking with a prospective patient, performing advanced testing, assisting a doctor, and helping with whatever needs to be done around the office We are much more interested in finding the right personality and communication style than someone who already knows optometry. Medical experience is helpful, but it is not required. Candidates from hospitality, high-end customer service, aesthetics/med-spa, dental, medical, veterinary, luxury retail, sales, or other high-touch service environments may also be an excellent fit. New Patient Experience & Communication — Approximately 60% A major part of this position is helping prospective patients determine whether our practice is the right place for them. You will communicate with new patients for both of our specialty practices and manage their experience from the initial inquiry through scheduling.
New-patient inquiries may come from:
Physician and optometrist referrals Website inquiries Phone calls Patients who previously contacted us but did not schedule Existing or previous patients who may be due to return Your goal is not simply to answer questions or quote a price. You will learn how to have an in-depth conversation with each patient so you can understand why they are calling, what they have experienced previously, what they are hoping to accomplish, and whether our practice is likely to be a good fit for their needs. You will then educate them thoroughly about our practice, the doctor, our technology, the consultation or specialty lens process, fees, payment options, insurance considerations, and what they can expect if they schedule.
This includes:
Building rapport quickly with prospective patients Asking thoughtful questions to understand their concerns and history Educating patients about what makes our specialty practice different Explaining consultation and specialty contact lens processes Discussing fees, payment options, and insurance/out-of-network questions confidently and transparently Addressing questions and concerns without becoming defensive or overly sales-focused Helping patients work through reasonable objections or uncertainty Guiding qualified patients toward scheduling when our practice appears to be a good fit Recognizing when our practice may not be the right fit for a patient Following up consistently with prospective patients who are still considering scheduling Maintaining an organized new-patient pipeline Scheduling appointments and documenting communication accurately Following patients through the process from their first inquiry until their scheduled appointment We do track metrics such as responsiveness, follow-up, scheduled appointments, and conversion rates. However, this is not a high-pressure sales environment. We believe excellent conversion is usually the result of excellent communication. The right person knows how to confidently control the direction of a conversation while still making the patient feel heard, respected, and never pressured. Clinical & Patient Care Responsibilities — Approximately 40% You will also work directly with our doctors and patients in the clinical environment. No previous experience with our technology is required. We will train the right person.
Clinical responsibilities may include performing:
Pentacam corneal tomography OCT imaging Autorefraction Visual acuity testing Lensometry Scleral contact lens imaging Ovitz/wavefront measurements Additional specialized testing as needed Scleral lens and equipment disinfection You may also: Assist doctors during specialty contact lens evaluations and fittings Occasionally teach or assist patients with contact lens insertion and removal Prepare and turn over patient rooms Clean and disinfect clinical equipment Assist with patient flow Help with scheduling, checkout, payments, messages, referral coordination, and other patient-care needs Serve as a general clinical assistant to the doctors when needed Attention to detail is extremely important. Many of the measurements we perform are used to design highly customized medical contact lenses, so we want someone who takes pride in learning how to obtain excellent, repeatable testing. Taking Ownership of the Office Experience We are a small specialty practice, which means everyone contributes to creating an exceptional environment. This position will also help keep the office looking polished, organized, and welcoming.
That may mean:
Restocking patient snacks, drinks, and coffee Keeping patient areas neat and organized Making sure displays and supplies look intentional and presentable Restocking clinical supplies Helping maintain inventory Making occasional post office or local errands Identifying something that needs attention and handling it rather than waiting to be asked If you notice that the refrigerator needs to be restocked, a room needs to be straightened, supplies are running low, or something simply doesn't look right, we want you to be the type of person who takes care of it. There is no "that's not my job" mentality on our team. At the same time, new-patient communication is a major priority of this position. When clinical responsibilities are complete, following up with prospective patients and managing the new-patient pipeline should generally come first.
Experience & Qualifications Preferred:
College degree Previous experience in healthcare, hospitality, high-touch customer service, sales, aesthetics, dental, optometry, ophthalmology, or a similar environment Previous consultative sales or patient-conversion experience Experience communicating with patients or customers by phone Not required: Optometry experience Ophthalmic certifications Previous experience operating our specific clinical equipment We are willing to teach clinical skills. It is much harder to teach someone to be naturally warm, curious, articulate, conscientious, and comfortable having meaningful conversations with people. Those qualities matter most to us. What Makes This Role Different Our practice focuses almost entirely on specialty eye care. We frequently work with patients with conditions such as keratoconus, irregular corneas, severe vision problems, complex contact lens histories, and other conditions that may require highly customized solutions. Many patients arrive frustrated after years of unsuccessful treatments or unsuccessful contact lens experiences. Helping someone finally see comfortably again can have an enormous effect on their life. You'll have the opportunity to work closely with those patients while learning some of the most advanced diagnostic and specialty contact lens technologies available.

Schedule Full-time Monday-Thursday:
8:00 AM-5:00 PM, majority of days are in office, with ~10% of days being virtual. The position will provide new-patient communication support for both of our specialty practices. Compensation $22-$28 per hour , depending on experience, communication skills, and relevant background. This position is also eligible for a performance bonus for new patients who schedule and complete their appointments. The bonus is intended to recognize excellent communication, follow-through, and patient experience—not aggressive sales tactics. Who Will Thrive Here You do need to be someone who can pick up the phone and immediately make another person feel comfortable. You should be curious enough to ask another question when something doesn't make sense. You should be confident enough to talk about a several-thousand-dollar treatment process without sounding uncomfortable or apologetic. And you should have enough judgment to understand that our practice is not right for every patient—and that is okay. Our goal is to educate people exceptionally well, understand what they need, and help the right patients confidently take the next step. Pay:
$22.00 - $28.00 per hour Application Question(s): Do you have reliable transportation to/from work and do you confirm that you're okay with ~90% of work being done on site, in Matthews, NC? Please note that the exact schedule will be determined before a hire is completed, and it's possible that the start time may be closer to 9am, but please note any restrictions on 8am to 5pm from Monday to Thursday to be safe.
