About Happy Kids Pediatrics Happy Kids Pediatrics is a concierge-style pediatric practice providing an elevated primary care experience for children and their families. We combine evidence-based medicine with integrative and functional approaches, partnering with parents to support each child's health through nutrition, lifestyle, prevention, and personalized care. Our mission is to create a healthcare experience where families feel heard, respected, and genuinely cared for. Unlike traditional high-volume practices, we intentionally care for a smaller patient panel, allowing us to provide longer appointments, meaningful relationships, and exceptional service. Every interaction from the first phone call to the moment a family leaves our office should feel warm, welcoming, and personalized. Position Summary:
Office Administrator / Medical Assistant This role blends front office administration, patient coordination, hospitality, and clinical support. As the first and last person our families interact with, you'll help create the personalized, concierge-level experience that defines Happy Kids Pediatrics. The ideal candidate is warm, polished, highly organized, dependable, and genuinely enjoys caring for others. You naturally anticipate needs, pay attention to the smallest details, and take pride in creating an environment where every family feels welcomed, valued, and at ease. This is not a traditional front desk position. Every member of our team contributes to creating an outstanding experience for our patients and their families.
Patient Experience & Office Administration:
Welcome every family with warmth, professionalism, and genuine enthusiasm. Create a calm, friendly, and inviting atmosphere from arrival to departure. Offer beverages and help families feel comfortable while waiting. Answer phones with kindness, professionalism, and efficiency. Schedule, reschedule, and confirm appointments. Check patients in and out. Register new patients and complete intake paperwork. Verify insurance and demographic information. Collect copays, membership fees, and outstanding balances. Process payments and reconcile daily collections. Coordinate referrals, forms, prior authorizations, and medical record requests. Maintain accurate electronic medical records. Communicate with families promptly and professionally by phone, text, and email. Help ensure each day runs smoothly through proactive organization and communication.
Clinical Responsibilities:
Escort patients to examination rooms. Obtain and document vital signs and measurements (height, weight, head circumference). Assist the provider during examinations and procedures. Turn over, clean, sanitize, and restock exam rooms. Maintain accurate clinical documentation. Follow OSHA, HIPAA, and infection control guidelines.
Office Environment:
Maintain a clean, beautiful, and welcoming office environment. Keep the reception area organized and inviting. Ensure exam rooms remain spotless and stocked. Perform light daily cleaning and organization. Monitor office and clinical supplies. Assist with opening and closing procedures. Take ownership of the presentation of the practice.

Required Qualifications:
High school diploma or GED. Minimum of 2 years of experience in customer service, hospitality, medical office administration, or a healthcare setting. Excellent verbal and written communication skills. Strong organizational skills with exceptional attention to detail. Comfortable using computers, electronic medical records (EMRs), and Microsoft Office/Google Workspace. Ability to multitask while maintaining a calm, professional demeanor. Professional appearance and polished interpersonal skills. Reliable, punctual, and dependable. Ability to maintain strict patient confidentiality (HIPAA).
Preferred Qualifications:
Certified Medical Assistant (CMA), Registered Medical Assistant (RMA), CCMA, or equivalent certification. Pediatric office experience. Experience in a concierge, boutique, direct primary care, hospitality, or customer service environment. Experience with insurance verification, prior authorizations, and medical billing basics. CPR/BLS certification (or willingness to obtain within 90 days). Experience with electronic medical records (Charm EHR is a plus). Compensation & Benefits:
Pay range: $22•$25 per hour, based on experience and qualifications Schedule & Hours Mondays and Wednesdays (9am•5pm) 16 hrs/week Opportunity to expand hours as practice grows.
