Mental Health Outpatient Program Coordinator - On Site Patchogue (Bilingual Spanish/English )

Job Description

Hispanic Counseling Center is currently seeking a highly motivated/dedicated Bilingual (English/Spanish) Mental Health Clinic Program Coordinator to join our multidisciplinary clinical treatment team in the Mental Health Outpatient Treatment and Rehabilitative Services (MHOTRS) Program. This position provides clinical and administrative supervision to mental health clinicians, social workers and interns while ensuring the delivery of high-quality services that meet OMH regulations and agency standards. This role oversees clinical operations, regulatory compliance, staff development, quality assurance initiatives, and reporting requirements. Responsibilities Clinical Supervision & Staff Development Provide weekly one-hour clinical supervision to assigned clinicians and interns. Clinical Oversight & Quality Assurance Review, approve, and sign off on clinical documentation, including: Comprehensive assessments Admission notes Treatment plans and treatment plan reviews Discharge summaries Aftercare follow-up documentation Substance use disorder referrals Review and approve screening decisions and screen-outs. Assign and monitor daily intake screenings. Provide crisis intervention support and ensure appropriate emergency referrals are documented. Ensure clinicians maintain full schedules and complete documentation in a timely manner. Program Administration & Compliance Ensure ongoing compliance with OMH regulations, Medicaid requirements, agency policies, and clinical best practices. Prepare and submit NIMRS Incident Reports. Participate in county, insurance, and OMH audits. Maintain and update the Mental Health Policy and Procedure Manual. Respond to records requests and subpoenas. Manage client grievances promptly and professionally. Review Kronos timesheets weekly for compliance and accuracy. Meetings & Reporting Facilitate and document: Weekly Case Conference meetings Monthly Mental Health & Substance Use Disorder meetings Quarterly High Risk Committee meetings Quarterly and emergency Incident Review Committee meetings Attend monthly Quality Assurance meetings. Attend monthly OMH Improving Access Quality Improvement Committee meetings. Oversee completion of internal and external reports, including: Annual Appendix Reports Behavioral Tool Reports Board Meeting Reports Quarterly Board Reports MHPD Reports Other required reporting activities Conduct and analyze annual Client Satisfaction Surveys and prepare detailed reports of findings. On-Call Responsibilities Provide scheduled Saturday on-call coverage. Respond to after-hours crisis calls when assigned. Maintain accurate after-hours documentation and response logs. Maintain supervision logs and complete required school and internship documentation. Interview and evaluate clinical staff and intern candidates. Lead new employee onboarding and training activities. Monitor completion of required annual trainings, including Mandated Reporter and Cultural Competency training. Support the professional development of clinicians and interns.
