Job Description

Veterinary Laboratory Coordinator & Client Care Representative The Oaks Veterinary Clinic is seeking an organized, detail-oriented individual to join our large animal and equine practice. This is a clinic-based position that plays a vital role in supporting our veterinarians, patients, and clients by ensuring laboratory testing, inventory, pharmacy operations, and client communications are performed accurately and efficiently. This position is ideal for an experienced veterinary assistant who enjoys organization, problem-solving, and behind-the-scenes coordination while remaining an essential part of the medical team. The primary responsibility of this position is the coordination and management of all diagnostic laboratory submissions. Duties include preparing and processing samples, selecting and ordering the appropriate diagnostic tests through multiple reference laboratory portals, packaging and shipping specimens according to laboratory requirements, tracking submissions, monitoring pending results, and ensuring laboratory reports are received promptly and communicated to the appropriate veterinarian. Accuracy, organization, and attention to detail are essential. This position also serves as an important point of contact for our clients. Responsibilities include answering incoming telephone calls, assisting clients with general questions, taking messages for veterinarians, gathering and documenting information regarding emergency cases, relaying urgent information to the appropriate doctor, processing payments, and providing professional, courteous customer service. Strong communication skills and the ability to remain calm and organized while managing multiple priorities are essential. Additional responsibilities include maintaining the clinic pharmacy, stocking and organizing medications and medical supplies, monitoring inventory levels, receiving and processing orders, maintaining laboratory and pharmacy records, assisting with client communication regarding laboratory testing and results, and providing clinical support to veterinarians as needed.
Qualified applicants will need:
  • Previous veterinary experience is required.
  • Strong organizational and time management skills with exceptional attention to detail.
  • Excellent written and verbal communication skills with a professional and compassionate demeanor.
  • The ability to prioritize multiple tasks while maintaining accuracy in a fast-paced environment.
  • Experience handling laboratory samples and familiarity with veterinary reference laboratories is preferred but not required.
  • Proficiency with computers and the ability to learn laboratory ordering platforms and practice management software.
  • A professional, dependable, and team-oriented attitude.
