  • Previous experience supporting government healthcare, Medicaid, health insurance, medical claims, compliance, or public-sector programs
  • Previous governmental project management or contract-management experience
  • Experience serving as a Project Coordinator, Portfolio Coordinator, Program Analyst, Business Analyst, Auditor, or Program Operations Specialist
  • Experience supporting healthcare program operations and improvement initiatives
  • Experience reviewing and revising provider or member handbooks
  • Experience maintaining public-facing websites and program content
  • Experience creating and revising program forms
  • Experience supporting annual surveys, financial reconciliation, program reporting, or performance metrics
  • Experience drafting standard operating procedures and workflow documentation
Healthcare Program Project Coordinator Overview:
We are seeking an organized, analytical, and detail-oriented Healthcare Program Project Coordinator to support projects and operational initiatives within a government healthcare programThe selected candidate will serve as the lead coordinator for assigned bureau projects and will be responsible for developing project documentation, establishing timelines, monitoring progress, tracking action items, facilitating meetings, supporting process improvements, and coordinating with internal and external stakeholders
Job Responsibilities:
Portfolio and Project Coordination:
  • Serve as Portfolio Manager for assigned bureau projects and initiatives
  • Develop and maintain project plans, timelines, schedules, trackers, and supporting documentation
  • Establish project milestones, deadlines, deliverables, and follow-up activities
  • Monitor project progress and identify risks, delays, dependencies, and unresolved action items
  • Track assigned action items through completion
  • Provide regular project-status updates to program management
  • Coordinate with internal and external stakeholders to support project objectives
  • Ensure project documentation remains accurate, complete, and current
Program Materials and Website Support:
  • Coordinate the review and revision of enrollee and provider handbooks
  • Support updates to public-facing program website content
  • Create or revise program forms, instructions, templates, and supporting materials
  • Coordinate stakeholder review and approval of updated program materials
  • Maintain version control and accurate records of document changes
  • Support process improvement initiatives related to program materials and communications
Reporting and Reconciliation Support:
  • Support annual survey planning, coordination, tracking, and reporting
  • Assist with annual outstanding-check reconciliation activities
  • Support bureau reporting and existing performance metrics
  • Collect, review, organize, and validate information used in reports
  • Identify missing, incomplete, inconsistent, or potentially inaccurate information
  • Coordinate follow-up with appropriate stakeholders
  • Assist in developing new reports, metrics, or data requests based on program needs
Data Review and Analysis:
  • Review and analyze program data
  • Identify trends, patterns, anomalies, risks, and potential improvement opportunities
  • Recommend potential data pulls, reports, metrics, or additional analysis
  • Summarize findings for program staff and management
  • Assist stakeholders in understanding data findings and their potential operational impact
  • Support data-driven decision-making and program improvement efforts
Policies, Procedures, and Process Documentation:
  • Draft and review procedures, processes, flowcharts, forms, templates, and other operational documentation
  • Assist with policy reviews and documentation updates
  • Develop and maintain standard operating procedures
  • Document current-state and future-state workflows
  • Identify process gaps, duplication, inefficiencies, and opportunities for improvement
  • Coordinate reviews and revisions with program staff and management
  • Ensure approved procedures and templates are maintained and communicated appropriately
Meeting Coordination:
  • Schedule and facilitate project-related meetings
  • Develop and distribute meeting agendas
  • Capture meeting minutes, decisions, risks, questions, and action items
  • Assign and track follow-up activities
  • Coordinate future discussions and unresolved items
  • Communicate meeting outcomes to appropriate stakeholders
  • Maintain organized records of project meetings and decisions
Stakeholder and Liaison Support:
  • Serve as a liaison among program teams, division leadership, regulatory representatives, and other stakeholders
  • Meet with program staff to understand project objectives, goals, requirements, and expectations
  • Coordinate communication among participating departments and external organizations
  • Escalate project risks, delays, and unresolved issues to management
  • Support collaboration across operational, policy, regulatory, financial, and healthcare functions
  • Maintain professional relationships with internal and external stakeholders
