Rancho Santa Fe, CA Pay:
$18.00-$20.00 per hour, depending on experience. We are currently hiring one Full-Time Patient Care Coordinator to join our growing team. This is a key role within our practice. As the first point of contact for our patients, you'll help shape every patient's experience while supporting the daily operations of our clinic. We're looking for someone who genuinely enjoys helping people, thrives in a fast-paced medical office, and takes pride in staying organized, solving problems, and delivering exceptional patient care. Position Summary As a Patient Care Coordinator, you'll be responsible for creating an outstanding patient experience while managing front desk operations, scheduling, patient communications, billing support, and administrative tasks. The ideal candidate is someone who can confidently manage multiple priorities while remaining calm, organized, detail-oriented, and compassionate. You'll play an important role in keeping our clinic running smoothly while helping patients feel cared for from the moment they contact our office. Responsibilities Patient Experience & Front Desk Welcome patients and create a warm, professional first impression Answer incoming phone calls, emails, text messages, and patient portal messages Schedule, reschedule, and confirm appointments using our electronic medical record (Optimantra) Check patients in and out efficiently Collect payments and review financial policies Assist patients with required paperwork and documentation Maintain a clean, organized, and welcoming reception area Administrative Support Scan, upload, and organize patient records and laboratory documents Maintain accurate patient information within our EHR Assist with patient billing, charging, and account reconciliation Coordinate provider schedules and follow-up appointments Monitor inventory and assist with ordering office supplies Support clinic projects and administrative tasks as needed Clinic Support Prepare treatment rooms between patients Restock supplies and maintain clinic organization Support providers with patient flow throughout the day Help maintain a clean, calm, and professional clinical environment Required Qualifications Minimum 2 years of reception, front desk, administrative, or other professional customer-facing experience (required) Experience using an EMR/EHR system Strong computer and typing skills Excellent written and verbal communication Outstanding organizational skills and attention to detail Ability to multitask in a busy healthcare environment Professional, dependable, punctual, and proactive High school diploma or equivalent Preferred Qualifications Experience with Optimantra EHR Experience in functional medicine, naturopathic medicine, integrative medicine, or another specialty medical practice Who Thrives Here We're looking for someone who: Loves helping people Takes initiative and ownership Communicates with kindness and professionalism Enjoys staying organized and solving problems Learns new systems quickly Works well independently and as part of a team Maintains composure during busy clinic days Values reliability, accountability, and teamwork Professional Presence This is a highly patient-facing role within a medical, wellness, and aesthetic practice. Monday-Friday:
