Job Overview Responsible for scheduling clinical appointments, triage, rooming, vitals, assisting physician during office/surgical procedures, post/pre op appts, communicating with patients regarding medication, lab results/tissue diagnosis, maintaining medical supply inventory for all sites (ordering, stocking, etc), instrument sterilization, surgical pack prep, and ensuring compliance with OSHA and CLIA. Additionally, this position will check-in/checkout patients, manage office phone calls and work on special projects as indicated by the Office Manager. Working under the direction of the Physician in the clinical areas. Responsibilities Consults and coordinates with health care team members to assess, plan, implement and evaluate patient care plans Conducts pre- and post-operative education, including necessary pre-operative assessments (i.e. DVT assessment, Malignant Hyperthermia Risk) Manages patient care for follow-up visits including, but not limited to, dressing changes, suture removal, written and verbal patient care instructions Appropriately documents every patient encounter (in-person, phone, email, etc) in electronic medical record system Alerts overseeing physician to any patient issues/concerns and responds accordingly based on physician direction Takes patient before and after photos applying ASPS photography standards and Canfield SCI Vectra software guidelines Uploads and organizes patient before and after photos to appropriate practice management software and/or EHR Prepares Vectra photo imaging record for surgical patients Schedules appointments for all physician providers while taking into consideration the physicians' schedules and the standard times required to perform appointment type. Ensures that all consent forms, referrals, labs, pathology reports, financial deposits, and other related documents are in order and signed as required prior to surgery date Schedules appointments for clinical team-only visits according to pre set templates, and proactively ensures scheduled times are appropriate for daily schedules Ensure effective communication with patients, physician(s), and staff to address any concerns/ issues Reviews medical supply inventory levels and places weekly orders with established suppliers as needed to avoid supply shortages Shops medical suppliers in high supply cost categories to obtain best pricing and discounts when available Medical Vendor Management Clinical Equipment Management & Maintenance (i.e. autoclave maintenance) Manages clinical scrub dry cleaning schedule (pick up and delivery) Assists with management and maintenance of the Vectra 3D surgical software Triages nursing calls from patients, pharmacies, and primary care physicians as necessary Returns phone calls to patients, pharmacies, etc., to ensure continuity of communication Checks voice-mail hourly. Responds to pharmacy requests for prescription refills within four hours of first request when possible Logs all surgical specimens submitted to pathology in the biopsy book. Logs final diagnosis upon receipt of consultation report (or when slides are read by physician) in the biopsy book Calls patients to report lab results, tissue diagnosis, and culture results. Logs details of patient notification in both the biopsy book and the patient's medical record Coordinates clinical team schedules to provide appropriate office coverage Prior experience working in a medical office setting is highly preferred; familiarity with medical administrative support is essential. Hands-on experience with EMR/EHR systems and electronic health records management is required. Knowledge of medical terminology, physiology, anatomy, pharmacology, ICD coding, and medical documentation practices is necessary for success in this role. Experience performing phlebotomy or medication administration in clinical settings is highly desirable. Inpatient hospital experience or exposure to emergency medicine environments such as Level I or Level II trauma centers will be considered an asset. Background working across multiple specialties including dermatology, internal medicine, urgent care, or hospital medicine enhances your candidacy. Certification in Basic Life Support (BLS) is required; additional certifications related to emergency medicine or advanced clinical skills are advantageous.
