Are you an experienced medical office leader who thrives in a high-growth, entrepreneurial private-practice environment? Do you have the leadership, operational expertise, and business mindset to help take a solo-practitioner medical practice to the next level? We are seeking an exceptional Medical Office Manager to become a key member of our growing solo-practitioner private practice specializing in pain management and regenerative medicine. This is much more than a traditional office-management position. You will work
  • directly with the officers and play a critical role in building the systems, team, patient experience, and operational infrastructure necessary to grow the practice.
Our practice provides advanced, minimally invasive and regenerative treatments, including interventional pain procedures, laser therapy, shockwave therapy, PRP, and otherinnovative treatment options. We are looking for a hands-on leader who understands that success in a solo-practitioner practice requires initiative, flexibility, accountability, and an entrepreneurial mindset.
The Opportunity:
As the Medical Office Manager, you will have a unique opportunity to help shape and grow a solo-practitioner private practice from the inside out. You will work closely with the physician-owner to develop and implement strategies that increase patient volume, improve efficiency, enhance the patient experience, strengthen the team, and drive sustainable practice growth. Because this is a solo-practitioner practice, your contributions will have a direct and visible impact on the success of the business. We are looking for someone who doesn't wait to be told what needs to be done—you see opportunities, solve problems, and take ownership. Key Responsibilities
  • Oversee the day-to-day operations of the solo-practitioner private practice
  • Work directly with the physician-owner to develop and execute practice growth strategies
  • Build and optimize workflows for scheduling, patient intake, procedures, follow-up, and patient communication
  • Recruit, train, supervise, and develop administrative and clinical staff
  • Establish a culture of accountability, professionalism, teamwork, and exceptional patient care
  • Monitor practice performance, revenue, expenses, collections, and key operational metrics
  • Identify opportunities to increase patient volume, treatment utilization, patient retention, and practice revenue
  • Optimize the physician's schedule and procedure-room utilization
  • Coordinate marketing, community outreach, referral development, and patient acquisition initiatives
  • Develop relationships with referring physicians, healthcare professionals, vendors, and community partners
  • Ensure an exceptional patient experience from the initial inquiry through treatment and follow-up
  • Develop and implement policies, procedures, and operational standards
  • Assist with compliance and regulatory requirements
  • Manage inventory, medical supplies, equipment, and vendor relationships
  • Collaborate with billing/revenue-cycle personnel to improve collections and resolve operational issues
  • Optimize EMR and practice-management systems
  • Establish and monitor KPIs to measure practice growth and performance
  • Identify inefficiencies and implement solutions that allow the practice to scale
  • Serve as a trusted operational partner to the physician-owner

  • Bachelor's degree or higher
  • Minimum 3 years of medical office/practice management experience
  • Demonstrated experience managing and growing a private medical practice
  • Experience leading and managing staff
  • Strong understanding of medical office operations and patient flow
  • Excellent organizational, communication, and problem-solving skills
  • Experience with EMR and practice-management systems, eClinicalWorks is a must
  • Ability to work independently and collaboratively in a small, entrepreneurial practice Preferred Qualifications
  • RN or LPN certification/license preferred, but not required
  • Experience in pain management
  • Experience in regenerative medicine
  • Familiarity with interventional pain procedures
  • Experience with PRP (platelet-rich plasma)
  • Familiarity with laser therapy
  • Familiarity with shockwave therapy
  • Experience growing a solo-practitioner or boutique medical practice
  • Healthcare marketing and referral-development experience
  • Strong understanding of practice finances and revenue-cycle management
  • Bilingual English/Spanish is a plus
