Join our dynamic and compassionate team at Yarmouth Medical Center, where we provide quality primary care to our community. We are a patient-centered clinic that prides itself on delivering exceptional care in a welcoming environment. We are currently seeking an organized, detail oriented, and dedicated Practice Manager to oversee the daily administrative and operational functions of our clinic.
Key Responsibilities:
Manage day-to-day office operations, ensuring smooth workflow and efficiency Serves as the primary front desk representative by greeting patients, checking patients in and out, verifying demographic and insurance information, collecting copayments, scheduling follow up appointments, processing patient paperwork, and providing exceptional customer service. Coordinates and processes prior authorizations for medications, imaging studies, procedures, and specialty services, including obtaining insurance approvals, monitoring status, and communicating with providers and patients. Coordinates and manages patient referrals, including obtaining required insurance authorizations, scheduling with specialty offices when appropriate, tracking referral completion, and documenting all activity in the electronic medical record. Maintains and updates the Practice website, including office announcements, provider information, forms, office hours, services, employment opportunities, and other website content as directed. Oversees and coordinates administrative operations. Handle patient inquiries and complaints with professionalism and care Maintains accurate documentation within the electronic medical record (eClinicalWorks), including patient demographic information, referral documentation, prior authorization activity, and administrative records. Assist with HR functions, including hiring, onboarding, and staff development Supports the continued growth of the Practice by identifying opportunities to improve operational efficiency, patient satisfaction, and administrative workflow. Monitor clinic supplies and manage vendor relationships Ensure compliance with health and safety regulations Collaborate with medical staff to streamline operations and improve patient experience Manage and keep updated policies for HIPAA Compliance for all personnel Develop and implement organizational policies and procedures for clinic Prepare activity reports to inform management of the status and implementation plans of programs, services, and quality initiatives. Review and analyze practice activities and data to aid planning, cash and risk management, and to improve service utilization. Establish work schedules and assignments for staff, according to workload, space, and equipment availability. Inspect facilities and recommend building or equipment modifications to ensure emergency readiness and compliance to access, safety, and sanitation regulations. Performs other administrative, operational, and patient service duties as assigned to support the efficient operation and continued growth of the Practice.
Qualifications:
Proven experience as an Office/Practice Manager, preferably in a healthcare setting Strong leadership and team management skills Experience working with commercial insurance plans, Medicare, Medicare Advantage, MassHealth, and payer authorization portals preferred. Experience with eClinicalWorks (eCW) or a comparable electronic medical record system preferred. Excellent organizational and multitasking abilities Proficient in office software (MS Office, scheduling systems) Familiarity with medical billing and insurance processes is a plus Strong interpersonal and communication skills Ability to handle sensitive information with discretion Bachelor's degree in business administration, healthcare management, or a related field is preferred, but not required. Ability to work under a high pressure and time constraint environment. Ability to interpret and supervise business policies of practice. Must maintain regular, consistent, and punctual attendance in accordance with assigned schedule and time off policies. Why Join Us?
