Overview Hopewell Family Medicine is seeking an experienced, motivated, and compassionate office manager to lead the daily operations of our independent family medicine practice. This individual will play a vital role in creating an exceptional experience for both our patients and our staff by ensuring the office runs efficiently while fostering a positive, team-oriented workplace culture. The ideal candidate is an organized and proactive leader with excellent communication skills, strong knowledge of medical office operations, and a passion for delivering outstanding patient care. The office manager will oversee administrative functions, support providers and staff, manage office workflows, ensure compliance with healthcare regulations, and help drive the continued growth and success of the practice. Responsibilities Manage the daily operations of the medical office, including scheduling appointments and coordinating provider calendars to optimize patient flow. Oversee internal communication among staff to ensure seamless information exchange and uphold high standards of patient care. Handle data entry tasks accurately within paper charts and scheduling software, maintaining up-to-date patient information and documentation. Supervise insurance third-party billing processes, ensuring timely claims submission and follow-up on unpaid accounts to support revenue cycle management. Provide exceptional customer service by addressing patient inquiries via phone or in person, ensuring clear communication and positive experiences. Maintain knowledge of health insurance policies and managed care procedures to assist patients with coverage questions and billing issues. Coordinate with external vendors and insurance providers to streamline revenue cycle activities and improve overall office efficiency. Qualifications Proven administrative experience within healthcare settings, demonstrating familiarity with medical office workflows. Strong proficiency in Microsoft Office suite (Word, Excel, Outlook) for documentation, scheduling, and communication tasks. Knowledge of health insurance plans, managed care processes, and third-party billing procedures. Excellent understanding of medical terminology and health records management systems. Exceptional written and verbal communication skills for client interaction and internal correspondence. Ability to manage schedules effectively while prioritizing urgent tasks in a fast-paced environment. Experience with revenue cycle management, including data entry, billing, coding, and collections is highly desirable.
