This is a hands-on role for someone who is comfortable managing a wide range of responsibilities, working closely with the clinical team, and stepping in where needed to keep the practice running smoothly. As an independently owned practice, we move quickly, value your input, and give our team real ownership of their work without the layers of a large health system. Responsibilities Managing clinical staff including PTO requests, hiring, onboarding, employee documentation etc Review employee timecards and coordinate payroll-related tasks Provide front-desk and phone support when needed Oversee office, clinical, and retail product ordering and inventory Coordinate vendors, routine services, and invoice payments Serve as a liaison with outside billing partners and help identify billing or collection issues Maintain expense documentation, deposits, and other routine administrative financial records Track practice insurance policies, renewals, and related documentation Maintain HIPAA, OSHA, CLIA, training, and other required compliance records Coordinate facility, equipment, and maintenance needs Manage patient interactions and serve as a point of escalation for billing or service concerns Oversee and manage practice technology systems, including EHR, phones, computers, payment processing, and related platforms Maintain organized records and ensure recurring administrative deadlines and processes are completed Qualifications We are looking for someone who is proactive, reliable, and able to work independently in a small-practice environment.

Required qualifications:

Prior medical office, practice management, or healthcare administration experience Strong organizational and communication skills Ability to manage confidential employee, patient, and financial information Strong attention to detail and follow-through Comfort learning and working across multiple software systems Experience with electronic health records Preferred qualifications: Experience with payroll, billing, vendors, or administrative financial processes Dermatology or outpatient specialty-practice experience Experience with ModMed (EHR), QuickBooks, medical billing, or healthcare compliance About West Omaha Dermatology West Omaha Dermatology is an independently owned dermatology practice focused on high-quality, personalized patient care.
