Office Manager - Newark/Geneva Offices Position Summary The Office Manager is responsible for overseeing the daily operations of our Newark and Geneva satellite medical offices and ensuring that the office runs efficiently, professionally, and in accordance with organizational policies and procedures. This position provides day-to-day leadership and support to office staff, coordinates patient flow and scheduling, addresses operational issues, and serves as the primary liaison between the satellite office and central administration. Because these are smaller offices, the Office Manager is expected to be highly hands-on and willing to assist with front-office and administrative responsibilities as needed. Essential Duties and Responsibilities Office Operations Oversee the daily operations of the office and ensure efficient patient and staff workflow. Ensure the office is properly staffed and prepared for daily patient schedules. Monitor patient flow and proactively address scheduling, staffing, or operational issues. Maintain a professional, organized, clean, and welcoming office environment. Coordinate office supplies, equipment, maintenance, and facility needs. Communicate building, equipment, IT, or operational concerns to the appropriate department or vendor. Ensure opening and closing procedures are completed appropriately. Staff Supervision Provide day-to-day supervision, direction, and support to office staff. Coordinate staff schedules, coverage, lunches, PTO requests, and unexpected absences. Promote teamwork, professionalism, accountability, and excellent customer service. Provide coaching and feedback to employees and address performance or behavioral concerns promptly. Communicate significant employee concerns to Administration/Human Resources. Assist with orientation and training of new employees. Patient Service Ensure patients receive courteous, professional, and timely service. Assist with resolving patient concerns or complaints that cannot be handled by staff. Monitor front-desk operations, telephone coverage, registration, check-in/check-out, and scheduling processes. Step in to assist with front-office responsibilities during busy periods or staffing shortages. Help maintain efficient and positive patient experiences throughout the office. Administrative Responsibilities Review and respond to office communications in a timely manner. Ensure staff follow established policies, procedures, and workflows. Assist with timekeeping and payroll-related matters, including reviewing employee time records and reporting discrepancies. Participate in manager meetings and communicate relevant information to satellite office staff. Maintain appropriate documentation regarding operational and employee matters. Assist Administration with special projects, reporting, and other responsibilities as needed. Qualifications Previous medical office experience strongly preferred. Previous supervisory, lead, or management experience preferred. Strong organizational and time-management skills. Excellent interpersonal, communication, and problem-solving abilities. Ability to manage multiple priorities in a fast-paced medical office environment. Ability to handle sensitive employee and patient situations professionally and confidentially. Strong computer skills and ability to learn electronic medical record and practice-management systems. Dependable, professional, and able to work independently while maintaining regular communication with Administration. Willingness to perform both management and hands-on administrative duties as needed. Expectations The Office Manager is expected to lead by example and maintain a professional, positive, and team-oriented environment. The successful candidate will take ownership of the day-to-day operation of the office, recognize and address issues proactively, communicate effectively with staff, providers, and Administration, and be willing to assist wherever necessary to ensure the office operates smoothly and patients receive excellent service. Pay:
$24.00 - $26.00 per hour Expected hours: 40.0 per week
