Full-Time About the Role ALPHA Men's Health is looking for an experienced, hands-on Office Manager to own the day-to-day operations of the clinic. This is a leadership role for someone who is passionate about leading a high performing team, holds people accountable with fairness, and genuinely cares about building a great place to work and a great patient experience day in and day out. You'll be the operational backbone of the clinic to ensure the clinic runs smoothly, every team member is supported and accountable, and every patient interaction is at the ALPHA standard. What You'll Own Scheduling & Coverage Maintain the established team schedule across medical assistants, nurse practitioners, and administrative staff. Be proactive and solve day-to-day coverage gaps — a standing coverage plan (cross-trained backups, on-call list, or similar) is in place and being utilized. Daily Operations & Accountability Inspect daily clinic processes to catch issues before they compound Hold team members accountable when mistakes happen — directly, fairly, and consistently Serve as the point person for resolving process breakdowns and coaching staff on standards Team Culture & Recognition Own and protect the team culture that makes ALPHA a strong place to work Build and run a recognition process for birthdays and work anniversaries Act as a steady, trusted presence for the team — someone staff can bring problems to Recognize things that matter to the business — a great patient review that names a specific staff member, someone covering a shift last-minute, a mistake caught before it reached a patient A simple peer-to-peer shoutout system (even something as low-lift as a Slack channel or a whiteboard) so recognition isn't only top-down Growth & Performance Understand the team's targets and monitor performance daily/weekly towards those targets. Track progress against these targets and adjust team processes to hit them Bring ideas to ownership on what's working operationally and what isn't Regulatory & Compliance Maintains day-to-day compliance for the clinic's CLIA-certified lab and keeps HIPAA, and OSHA handling/documentation practices current Tracks license, certification, and renewal deadlines (CLIA certificate, staff licenses, required postings) and flags upcoming items to ownership before they become urgent Team Leadership Lead the ALPHA team of medical assistants, nurse practitioners, and administrative/front-desk staff handling check-in, check-out, and scheduling Serve as the primary point of escalation for staff questions and issues day-to-day to get them problem solved quickly Hiring Writes and posts job listings for open roles. Owns new-hire onboarding so new team members feel set up for success. Screens applicants and conducts first-round interviews for medical assistants, administrative staff, and other supporting roles. Coordinates the interview process for nurse practitioner or clinical hires. Makes hiring recommendations and is a key voice in the final hiring decision — not necessarily the sole decision-maker on every role, but ownership relies on their read of the candidate Owns reference checks and background/credential verification as applicable Responsible for the new-hire onboarding — offer communication, start-date logistics, and Day 1 readiness What We're Looking For 3+ years in a management or supervisory role in a medical environment, ideally in a medical, wellness, or healthcare-adjacent setting Demonstrated ability to manage clinical operations, staff, and vendor relationships Exceptional leadership, communication, and organizational skills Experience working in healthcare environment where online reviews and patient acquisition metrics tied to clinic growth were a focus Comfortable making tough calls — approving/denying requests, handling patient escalations, coaching underperformance Strong track record of building or sustaining positive team culture Familiarity with patient scheduling systems / EMR platforms (or ability to learn quickly) Ability to train and mentor staff with varying levels of healthcare experience Strong knowledge of HIPAA and healthcare compliance Comfortable working in a fast-paced, growing environment
Full Time Role:
Monday to Friday 8:00 - 5:00 pm In-person at Southlake, TX clinic
Pay:
$30.00 - $35.00 per hour
