Job Summary We are seeking a dynamic and highly organized Executive Operations & Family Office Manager to oversee the daily operations of a private residence and family office. This role offers an exciting opportunity to manage household functions, coordinate personal and professional schedules, and ensure seamless execution of household and business activities. The ideal candidate brings exceptional organizational skills, a proactive attitude, and a passion for delivering outstanding service in a private residence setting. You will serve as the central point of contact for household staff, vendors, advisors, and family members — managing both business and personal logistics while maintaining the highest level of confidentiality and discretion.
Duties:
Manage executive and personal calendars, meetings, and correspondence
Coordinate domestic and international travel, including personal vacation planning
Oversee household staff (housekeeper, nanny, driver, chef) and household operations
Manage family calendars, appointments, and day-to-day logistics
Act as liaison with vendors, contractors, attorneys, accountants, and advisors
Oversee home maintenance, renovations, and property upkeep
Handle bill payment, expense tracking, and document/insurance organization
Plan events, executive projects, and special occasions (including gift purchasing)
Manage vehicle registrations, maintenance, and transportation logistics
Provide concierge services and support personal errands/projects
Oversee general office management
Handle special projects and confidential/sensitive communications with minimal supervision
Requirements:
Proven experience in personal assistant, executive assistant, or private residence/family office management, with a focus on household operations and staff supervision
Strong background in event planning, household management, and property oversight within private residences or luxury hospitality environments
Excellent organizational and multitasking skills with strong attention to detail
Experience in residential cleaning, housekeeping management, laundry services, cooking, and/or childcare support preferred
Valid driver's license with driving experience; comfortable managing transportation logistics for family members
Exceptional customer service skills with a discreet, trustworthy approach to confidential information
Ability to supervise household staff effectively while fostering a positive team environment
Proficiency in administrative tasks: calendar management, vendor coordination, and communication with external service providers
Strong time management and flexibility to adapt to shifting priorities in a fast-paced environment
