  • Part-time Job Overview We are seeking a detail-oriented Medical Records Specialist to handle the review and processing of subpoenas and legal requests for medical records.
In this role, you will carefully review each subpoena to determine exactly what is being requested, ensure the correct fee is invoiced and collected, and release the appropriate records in full compliance with the request and with patient privacy law. Subpoenas are precise legal documents that must be followed exactly, so this position is a strong fit for someone who is meticulous, organized, and comfortable working independently with a high degree of accuracy. Responsibilities Review incoming subpoenas and legal record requests to determine the precise scope of records being sought. Verify that each request is valid and properly authorized before any records are released. Calculate and invoice the appropriate statutory fee, and confirm payment before fulfilling the request. Compile and release only the records specified in the request, ensuring nothing outside the scope is included. Maintain accurate logs of all requests, invoices, payments, and records released. Ensure all activity complies with HIPAA and applicable state privacy and records-release laws. Communicate professionally with attorneys, courts, and requesting parties regarding the status of requests. Qualifications Exceptional attention to detail and the ability to follow precise instructions exactly. Strong computer skills and comfort learning new software and digital records systems. Ability to work independently, manage your own workload, and meet deadlines. Professional written communication skills for correspondence and invoicing. Familiarity with HIPAA and medical records privacy standards preferred. Prior experience in release of information (ROI), medical records, or a legal/medical office setting is a plus but not required — we are willing to train the right person. Schedule & Hours This is a part-time, flexible position — not a full-time role. The workload for subpoena and records handling may be as little as 8 hours per week, or more, depending on volume and what you're comfortable taking on. Once trained, you can work these hours within a standard Monday-Friday 8:00 AM-5:00 PM window, or arrange evenings and weekends to fit your schedule. Additional Opportunity For candidates interested in also taking on medical records processing — reviewing and formatting records — additional hours are available. Depending on your interest and availability, this can range from a few extra hours per week up to a full-time workload. This is optional and can be tailored to what works for you.
