LOCATION
CUPERTINO Job Overview We are seeking a highly organized and bilingual Medical Receptionist Lead fluent in Mandarin and English to oversee the day-to-day operations of the front office. This role will serve as a lead for the front office team while also providing excellent patient service and supporting administrative and clinical operations. The ideal candidate will be experienced in medical office procedures, EHR systems, insurance processes, and patient coordination, with the ability to prioritize tasks, support staff, and ensure the front office runs efficiently. Responsibilities (including but not limited to) Oversee daily front office operations and help ensure efficient workflow and patient flow. Provide guidance and support to front office staff and help coordinate daily assignments and responsibilities. Greet patients warmly and professionally in both Mandarin and English, ensuring a positive patient experience. Schedule appointments accurately using the EHR system. Verify insurance eligibility and coverage, process authorizations, and assist with billing and collection efforts. Manage patient check-in and check-out while ensuring accurate documentation and data entry. Handle multi-line phone systems with excellent phone etiquette and respond to patient inquiries promptly and professionally. Maintain organized medical records in compliance with HIPAA and confidentiality requirements. Process prescription refill requests. Process prior authorizations and follow up as needed. Contact patients regarding lab and imaging results and communicate next steps as directed by the provider. Assist with filing, faxing, scanning, and other administrative tasks. Support clinical staff with care plans, documentation, and accurate CPT and ICD-10 coding for billing purposes. Room patients, obtain vital signs, and accurately document information in the EHR. Monitor front office processes and address issues to help maintain efficient clinic operations. Assist with training and onboarding front office staff as needed. Work collaboratively with providers and clinical and administrative staff to support overall clinic operations. Perform other duties as assigned. Qualifications Proven experience as a Medical Receptionist, Front Office Lead, or similar role in a medical clinic. Fluency in Mandarin and English is required. Previous experience overseeing or providing guidance to front office staff is preferred. Familiarity with EHR systems and medical office procedures. Knowledge of medical billing, insurance verification, authorizations, and Medicare processes. Working knowledge of medical terminology, CPT and ICD-10 coding, and documentation review. Excellent communication, organizational, and interpersonal skills. Professional phone etiquette and strong customer service skills. Ability to handle sensitive patient information confidentially in accordance with HIPAA requirements. Ability to multitask, prioritize responsibilities, and work effectively in a fast-paced clinic environment. Prior medical clinic experience is required; dental office experience may also be considered.
