Job Responsibilities:

We strive to provide the highest level of customer service for our patients and the successful candidate will demonstrate strong listening skills and empathy, professional and personalized interactions with patients and colleagues, and will self-motivate to assist in resolving matters that arise both for patients and colleagues. Tasks include but are not limited to: Welcomes and greets all patients and visitors, in person or over the phone, in such a way as to support our \"uniquely positive experience\" for people visiting our practice. Maintains proper telephone etiquette, transfers calls as appropriate, and seeks to provide exceptional customer service at all times including timely response to messages and voicemails. Responsible for keeping the reception area clean, organized, stocked, and plants watered. Assists concierge teammates with patient needs and inquires as they arise, as well as describing our care model to prospective new patients in a professional manner. Registers new patients and updates existing patient demographics by collecting detailed information including personal and insurance information. Assists patients with understanding which insurances are accepted and which are not, and comfortably discusses the prices for services when appropriate. Ensures timely completion of new patient paperwork such that it is available for provider review ahead of the appointment time. Manages new patient paperwork and updates the patient chart with data under the direction of the provider(s). Assists with setup of portal access for existing patients, and assists with password reset as needed. Manages online incoming visit requests, interacting with patients through the online text feature as appropriate. Facilitates positive visit experience by notifying the staff of patient arrival, being aware of delays, and communicating with patients and clinical staff. Responds to inquiries from patients, other healthcare personnel, vendors, and visitors in a courteous manner seeking to provide a meaningful solution for the concern rather than simply an answer. Keeps tabs on office supplies by anticipating inventory needs, and ordering or communicating to management as appropriate. Protects patient confidentiality by making sure protected health information is secured by not leaving PHI in plain sight and logging off the computer before leaving it unattended. Prepares ultrasound charts the night before. Schedules return appointments and manages waitlist, including calling patients in order on the waitlist if visits become available. Manages expectations of patients who make use of the waitlist. Processes medical records requests, both incoming and outgoing. Processes payments, scans documents as needed. Manages routine and recurring online tasks as assigned by clinical staff. Engages with teammates in a positive, respectful and supportive manner.

Requirements:

Minimum of three years medical front desk experience. Strong communication and customer service skills. Must be detail oriented and able to complete tasks in a timely and correct manner. Proficient knowledge regarding insurances. Computer and office technology proficiency and prior experience with EMR preferred. Ability to multitask without sacrificing patient or coworker experience. Ability to assist other team members with tasks, willing to volunteer to assist in support of the team, and behaves with teammates in a courteous and uplifting manner. Able and willing to follow the core values of The Alpine Center when interacting with patients, families, visitors, and vendors.
