Job Description

Summary The Medical Receptionist serves as the first point of contact for patients at Affirmative Care Solutions, providing a warm welcome and ensuring the smooth flow of daily operations. This role is responsible for greeting patients, managing front desk functions, supporting scheduling and administrative needs, and assisting with patient records. The ideal candidate is organized, detail-oriented, and able to maintain professionalism and compassion while supporting a secure, trauma-informed healthcare environment. Principal Duties and Responsibilities Arrive 30 minutes prior to clinic opening to prepare the facility: disarm alarm, unlock doors, turn on lights, and start necessary electronic systems. Check voicemail and respond promptly to messages regarding scheduling, clinic information, or medical record requests. Print daily appointment lists and distribute them to the appropriate areas. Greet and check in patients with professionalism, ensuring all intake paperwork is complete before services begin. Call and follow up with scheduled patients who are late or have not arrived. Accurately input and update patient information in electronic medical records. Communicate consistently with providers to manage scheduling preferences and availability. Assist with patient flow and support clinical staff as needed outside of front desk duties. Perform administrative tasks including scanning, faxing, filing, and maintaining accurate records. Maintain familiarity with clinic policies and current legal/medical information relevant to services provided. Complete other duties as assigned to support clinic operations and patient care. Special Skills and Abilities Strong interpersonal and communication skills, with the ability to create a welcoming and supportive environment for patients. Ability to multitask and remain organized in a fast-paced healthcare setting. Proficiency in computer systems, including electronic health records (EHRs), scheduling software, and general office applications. Professionalism and composure when working with patients experiencing stress or emotional difficulty. Strong problem-solving skills and flexibility to adapt to changing clinic needs. Commitment to confidentiality, patient privacy, and clinic security protocols. Experience Previous experience as a medical receptionist or in a healthcare front desk role preferred. Knowledge of medical terminology and healthcare scheduling systems strongly preferred. Experience working in reproductive health, OB/GYN, or other medical care settings desirable but not required. CPR and Basic Life Support (BLS) certification preferred (or willingness to obtain upon hire). Physical Requirements • Must be able to stand for extended periods, lift up to 25 lbs, and perform physical tasks such as mopping and restocking supplies. • Must be able to wear required PPE (Personal Protective Equipment) throughout shifts. Work Location & Schedule On-site at Affirmative Care Solutions, 600 N Logan Ave, Danville, IL 61832. Schedules may include weekdays, some Saturdays, and occasional extended hours to meet patient care needs. Security & Confidentiality All ACS staff must adhere to the highest standards of patient confidentiality and clinic security protocols. This includes compliance with HIPAA, keycard access procedures, and vigilance in identifying and responding to potential safety concerns.
