We are looking for a Medical Front Desk Specialist to support daily front office operations for a busy healthcare practice in Maryland. This position is ideal for someone who enjoys creating a welcoming patient experience while keeping scheduling, documentation, and administrative workflows organized. The person in this role will work closely with providers and patients to help visits run smoothly from arrival through follow-up.
Responsibilities:
Welcome patients courteously, manage arrival and departure procedures, and provide attentive service throughout each visit.
Contact patients regarding upcoming appointments, confirm schedules, and follow up on missed visits to support attendance.
Perform screening-related tasks in accordance with office procedures and established guidelines.
Maintain a neat reception space and orderly patient areas to promote a clean and organized environment.
Prepare patients for provider visits, update charts accurately, and help keep medical documentation current and accessible.
Provide administrative support by coordinating intake materials, organizing records, and assisting with follow-up documentation.
Oversee appointment flow by managing calendars, securing prior authorizations, and confirming required information is ready before treatment.
Act as a point of contact between patients and providers for scheduling, documentation needs, and general visit-related communication under provider direction.
Experience with patient scheduling in a medical office or similar healthcare front desk setting.
Working knowledge of medical front office procedures, including reception and patient check-in activities.
Ability to communicate clearly and courteously with patients, providers, and internal staff.
Familiarity with basic medical terminology and the ability to use it accurately in daily work.
Strong organizational skills with attention to detail when handling records, appointments, and documentation.
Ability to manage multiple tasks efficiently in a fast-paced clinical environment.
Comfort supporting non-clinical administrative processes such as follow-up calls and prior authorization coordination.
