Job Description

About Us We are a specialized, growing private speech therapy practice serving children and families. We combine a warm, welcoming pediatric environment with high standards for organization, communication, and follow-through. Position Overview We're looking for a highly organized, proactive Patient Access & Revenue Coordinator who can help keep our practice running smoothly. This role combines patient scheduling, insurance and authorization support, revenue-cycle follow-up, and family communication. You'll be an important point of contact for our families while also helping manage the behind-the-scenes systems that keep the practice organized, efficient, and financially healthy. The ideal person genuinely enjoys children and families, but also loves accuracy, problem-solving, organization, and taking ownership of tasks from start to finish. Core Responsibilities Pediatric & Parent Engagement Greet families warmly and help create a welcoming, professional environment for children and parents. Serve as a helpful point of contact for families regarding scheduling, insurance questions, and general practice needs. Insurance & Revenue Support Verify insurance benefits, monitor authorizations, and proactively address issues that could interrupt care or reimbursement. Support timely claims submission and follow up on outstanding claims, denials, and other revenue-cycle items. Maintain accurate patient payment information and professionally communicate with families regarding copays, deductibles, balances, and other financial responsibilities. Schedule & Intake Management Proactively fill cancellations, manage the active waitlist, and help maintain a productive schedule. Respond promptly to new patient inquiries and guide families through the intake process from initial contact through scheduled evaluation. Maintain accurate schedules and patient information and follow through on outstanding intake items. Practice Support & Growth Assist with occasional newsletters, referral outreach, office projects, and other practice needs while bringing a proactive, "see it, own it, solve it" approach to the role.
Ideal Candidate Experience:
Prior medical office, healthcare administration, insurance, scheduling, or revenue-cycle experience strongly preferred; pediatric experience is a plus.
Organization:
Exceptionally organized and detail-oriented, with the ability to manage multiple priorities and follow through consistently.
Communication:
Warm and confident with families while remaining professional during insurance and financial conversations.
Technology:
Comfortable learning EMR systems and common office technology; experience with Canva or similar tools is a plus.
Mindset:
Proactive, dependable, and resourceful, with the ability to take ownership of responsibilities from start to finish. Pay:
$20.00 - $24.00 per hour

This position may grow over time to include additional responsibilities (such as credentialing coordination, reporting, or schedule/documentation audits) depending on the needs of the practice — growth opportunities can vary based on clinic staffing and business needs. Is that kind of growth something you're looking for? Do you have experience in a pediatric setting (school, clinic, rehab, etc.)? How many years of experience do you have with insurance verification and/or medical billing or revenue-cycle tasks? Are you comfortable learning and working within an EMR (electronic medical records) system? Do you have any formal training, coursework, or certification in medical billing or coding (e.g., CPC, CMAA, CBCS, or similar)?
