[Varies based on experience] About Refresh Refresh Integrative Medicine & Aesthetics is a growing medical aesthetics practice committed to helping our patients look and feel their best. We provide personalized care in a professional, welcoming, and upscale environment. We are looking for an energetic, polished, and dependable Medical Spa Receptionist / Patient Coordinator to become an important part of our team. The ideal candidate is warm, organized, confident, and able to deliver an exceptional patient experience from the first phone call through checkout and follow-up. Responsibilities Welcome patients and create a friendly, professional first impression Answer incoming calls, text messages, emails, and online inquiries promptly Schedule, confirm, and manage patient appointments Educate patients about services, memberships, packages, and current promotions Help convert inquiries into consultations and appointments Check patients in and out, collect payments, and accurately process transactions Maintain patient records and protect confidential information Communicate pre-treatment and post-treatment instructions provided by our clinical team Coordinate schedules for providers and help keep the practice running on time Follow up with prospective and existing patients Assist with product sales and maintain an attractive retail area Keep the front desk, reception area, and shared spaces clean and organized Help manage inventory and office supplies Address patient questions or concerns with professionalism and discretion Support promotional events, marketing initiatives, and other administrative needs Complete opening and closing responsibilities as assigned What We're Looking For At least one year of experience in reception, hospitality, customer service, retail, or a medical office preferred Medical spa, dermatology, plastic surgery, wellness, or cosmetic industry experience is a plus Excellent verbal and written communication skills Friendly, polished, and professional appearance and demeanor Strong organizational skills and attention to detail Comfortable discussing services, promotions, memberships, and treatment packages Confident handling payments and sensitive patient information Able to multitask in a busy environment without sacrificing service Comfortable using scheduling software, email, text messaging, and basic office technology Reliable, punctual, accountable, and willing to take initiative Able to work well independently and as part of a team Available to work [evenings/Saturdays, if applicable] The Right Person for This Role You may be an excellent fit if you genuinely enjoy helping people, naturally make others feel welcome, and understand that every phone call and patient interaction matters.
