Medical Director Position Summary We are seeking a friendly, organized and dependable Medical Receptionist to serve as the first point of contact for our patients. This individual will manage front-desk operations, scheduling, patient registration, insurance verification and routine administrative communications while creating a welcoming and professional patient experience. The ideal candidate communicates clearly, handles sensitive information with discretion and remains calm and attentive in a busy clinical environment. Primary ResponsibilitiesPatient Reception and Service Welcome patients and visitors professionally and courteously. Check patients in and out accurately and efficiently. Confirm patient demographics, contact information, insurance and required forms. Provide patients with intake paperwork and assist with nonclinical questions. Maintain an organized, clean and welcoming reception area. Communicate delays or scheduling changes respectfully. Address patient concerns professionally and escalate issues when appropriate. Protect patient privacy during all in-person, telephone and electronic communications. Scheduling and Communication Schedule, confirm, reschedule and cancel appointments. Select the correct appointment type, duration and provider. Manage appointment reminders, waitlists and scheduling requests. Answer incoming calls promptly and route messages appropriately. Monitor assigned voicemail, email and patient-portal queues. Document telephone and portal messages accurately in the EHR. Identify urgent or clinical concerns and immediately transfer them to qualified clinical staff. Follow practice protocols for late arrivals, cancellations and no-shows. Insurance and Financial Duties Verify insurance eligibility, benefits and primary-care requirements. Confirm patient copayments, deductibles and outstanding balances. Collect copayments and other patient-responsibility amounts. Provide receipts and accurately reconcile daily collections. Obtain copies of insurance cards and government-issued identification. Explain practice financial policies without providing insurance guarantees. Notify appropriate staff when referrals or prior authorizations may be required. Support cash-pay, membership and wellness-service workflows as assigned. Medical Records and Referrals Request and receive outside medical records. Scan, label and upload documents into the correct patient chart. Process approved medical-record requests and authorizations. Coordinate routine referrals and diagnostic appointments when assigned. Confirm referral fax numbers, portal requirements and appointment status. Track outstanding referral documentation and consultation notes. Follow HIPAA requirements before releasing any patient information. Administrative Support Maintain accurate patient information in the EHR. Manage incoming mail, faxes and secure electronic documents. Assist with office supply inventory and front-desk organization. Support daily opening and closing procedures. Communicate with laboratories, pharmacies, specialists and other healthcare offices. Participate in staff meetings, training and quality-improvement activities. Perform other administrative duties consistent with the position and practice needs. Required Qualifications High school diploma or equivalent. Strong customer-service and interpersonal skills. Professional telephone and written communication skills. Excellent organization, accuracy and attention to detail. Ability to multitask while maintaining patient confidentiality. Basic computer proficiency and ability to learn an electronic health record system. Ability to remain professional when assisting patients who are upset, anxious or unwell. Reliable attendance and punctuality. Preferred Qualifications At least one year of medical front-office, healthcare or customer-service experience. Familiarity with medical terminology. Experience with appointment scheduling and insurance verification. Knowledge of Medicare and commercial insurance workflows. Experience processing referrals, prior authorizations or medical records. Bilingual English/Spanish skills. Medical receptionist, billing or administrative certification. Professional Expectations Treat every patient with compassion, dignity and respect. Maintain strict confidentiality and follow HIPAA requirements. Communicate clearly with patients, physicians and coworkers. Demonstrate initiative, accountability and sound judgment. Remain flexible as the practice grows and workflows evolve. Physical Requirements Ability to sit and use a computer for extended periods. Ability to communicate effectively in person and by telephone. Ability to stand, walk, bend and retrieve office materials. Ability to lift and move office supplies weighing approximately 25 pounds. Visual and auditory ability sufficient to perform essential front-desk duties, with reasonable accommodations when applicable.
