About Maryland Health Services Maryland Health Services is an outpatient mental health facility dedicated to providing high-quality, person-centered behavioral health services to individuals and families across Maryland. Position Summary The Receptionist / Administrative Assistant serves as the first point of contact for clients, visitors, and providers. This position plays a critical role in ensuring efficient front-office operations, accurate scheduling, and timely management of patient information within the electronic health record (EHR) system. The ideal candidate is organized, professional, detail-oriented, and comfortable working in a fast-paced behavioral health environment. Essential Duties and Responsibilities Greet clients, visitors, and staff in a professional, courteous, and trauma-informed manner Answer and route incoming phone calls; respond to inquiries and messages promptly Schedule, confirm, reschedule, and cancel client appointments Manage and maintain providers' schedules to ensure efficient daily operations Enter, review, and update patient demographic and appointment information in the electronic medical record (EMR) system Verify insurance information and collect required intake documentation as needed Maintain accurate records while ensuring compliance with HIPAA and confidentiality standards Assist with general administrative tasks including filing, scanning, copying, and correspondence Support clinical and administrative staff with clerical needs as assigned Maintain a clean, organized, and welcoming office environment Report concerns, scheduling issues, or workflow challenges, and low office supplies to supervisory staff Minimum Qualifications At least 1 year of relevant experience working in a medical, behavioral health, or healthcare facility Experience using an electronic health record (EHR) system to enter and review patient information Experience scheduling appointments and managing provider calendars Strong organizational, time-management, and multitasking skills Excellent verbal and written communication skills Proficiency with basic office software (e.g., Microsoft Word, Excel, email systems) Ability to maintain professionalism and confidentiality at all times Preferred Qualifications College degree or coursework in healthcare administration, business, or a related field (preferred but not required) Prior experience in an outpatient mental health or behavioral health setting Familiarity with insurance verification and intake processes Bilingual abilities are a plus Benefits Eligible employees of Maryland Health Services may receive the following benefits, which are provided on an accruing basis , in accordance with organizational policy: Paid Time Off (PTO) accrued based on length of service End-of-year bonus , based on performance and organizational criteria Physical and Work Requirements Ability to sit or stand for extended periods Ability to operate standard office equipment Ability to interact professionally with diverse populations Equal Opportunity Employer Maryland Health Services is an Equal Opportunity Employer and does not discriminate based on race, color, religion, sex, national origin, age, disability, sexual orientation, gender identity, or any other protected status.
