Job Description

Position Overview We are seeking a compassionate, organized, and detail-oriented Part-Time Mental Health Clinic Coordinator & TMS Technician Trainee to join our team. This position is ideal for someone who has a strong interest in mental health and enjoys working directly with patients while supporting the day-to-day operations of a growing mental health practice. The role will initially focus primarily on patient coordination and administrative responsibilities , including scheduling, insurance verification, billing, and phone coverage. For the right candidate, there will also be an opportunity to become trained and certified as a TMS (Transcranial Magnetic Stimulation) Technician , allowing the clinical component of the position to grow over time. We will provide the necessary training and support toward TMS technician certification . The TMS responsibilities will initially represent a smaller portion of the position, with the potential to become a significant part of the role as the employee develops their skills and interest. Key Administrative & Patient Coordination Responsibilities Serve as a welcoming, professional, and compassionate first point of contact for patients by phone and in person. Determine patients' needs and assist in connecting them with the appropriate clinical services and providers. Coordinate new patient intake and appointment scheduling. Help ensure patients are scheduled with the appropriate level and type of mental health service. Verify patient insurance eligibility and benefits and communicate relevant information to patients. Assist with patient billing, including collecting payments, answering billing questions, and coordinating with insurance as needed. Provide general phone coverage, respond to patient inquiries, and route calls appropriately. Maintain accurate and timely patient information and administrative records. Communicate effectively with clinicians, patients, insurance companies, and other members of the care team. Maintain patient confidentiality and adhere to all clinic policies and applicable privacy requirements. Assist with other administrative and operational needs of the practice. TMS Technician Training & Clinical Opportunity As part of this position, the selected candidate will have the opportunity to develop specialized experience in Transcranial Magnetic Stimulation (TMS) , an innovative, non-invasive treatment used in the field of mental health.
Responsibilities may include:
Participate in structured training to become a certified TMS technician. Learn the principles, procedures, and protocols associated with TMS treatment. Assist with preparing patients for TMS sessions and providing a supportive, patient-centered experience. Develop competency in operating TMS equipment in accordance with training, clinical protocols, and applicable requirements. Work closely with clinicians and other members of the treatment team. Monitor and communicate relevant patient observations and treatment-related information to the appropriate clinical staff. Provide a calm, reassuring, and professional presence for patients undergoing treatment. As training and competency develop, gradually assume a greater portion of the TMS treatment responsibilities. Qualifications & Skills Strong interest in mental health and a desire to develop a career or deeper experience in the field. Warm, compassionate, and patient-centered approach. Excellent interpersonal and communication skills. Highly organized and detail-oriented, with strong follow-through. Comfortable managing multiple responsibilities and shifting between administrative and patient-facing tasks. Professional and comfortable communicating with patients about scheduling, insurance, billing, and treatment. Ability to learn new clinical procedures and technology. Dependable, motivated, and eager to learn. Ability to work independently while also functioning effectively as part of a clinical team. Previous experience in healthcare, behavioral health, medical office administration, or a patient-facing role is preferred but not required. Why Join Us? Work Setting :
This is an onsite, out patient office, part-time position. Training and certification for the TMS technician component will be provided by the clinic.
Pay:
$22.00 - $25.00 per hour
