Job Description
Company Overview Daffodil Pediatrics is a vibrant, rapidly expanding outpatient pediatric practice with multiple locations across the metro area. Our clinics are dedicated to providing comprehensive, compassionate care to children and their families in a welcoming environment. Job Summary The Patient Advocate (PA) - Level I is an entry-level, provider-facing support role responsible for assisting with clinical administrative tasks to ensure efficient patient care delivery. This role works closely with providers and clinical teams to support daily workflows, facilitate communication, and ensure patients receive timely follow-up and coordination of care. The Patient Advocate plays a key role in supporting the plan of care, patient communication, and documentation needs while maintaining an organized and patient-ready clinical environment. Key Responsibilities I. Provide direct administrative support to providers for clinical workflows II. Assist with implementation and follow-through of patient plans of care as directed by providers III. Coordinate and process referrals to specialists and external services IV. Return patient calls and messages as directed by providers, ensuring timely communication V. Prepare, complete, and manage clinical documents and forms VI. Assist with faxing, copying, scanning, and document management VII. Prepare and organize patient documents for visits, follow-ups, and care coordination VIII. Maintain and stock forms and supplies at the nurse station to ensure readiness IX. Ensure Vaccine Information Sheets (VIS) are available and provided to patients/guardians after vaccines are administered X. Ensure all documentation is accurately entered and maintained in EPIC or applicable systems XI. Support communication between providers, patients, and care teams to ensure continuity of care. XII. Follow established workflows and escalate clinical questions or concerns appropriately Performance Expectations (Level I) I. Completes assigned administrative tasks accurately and in a timely manner II. Demonstrates reliability and responsiveness to provider needs Qualifications 1-2 years Prior experience in Healthcare Admin role. Strong background in hospital or emergency medicine settings with familiarity in acute care procedures. Knowledge of medical coding systems including
CPT, ICD-9/10
coding standards. Experience working within EMR/EHR systems with an understanding of HIPAA compliance. Proficiency in discharge planning, intake processes, case management, and utilization review practices. Excellent communication skills with the ability to navigate complex healthcare scenarios effectively.
