Position Summary The position serves as the primary point of contact for prospective and new patients, ensuring an exceptional patient experience from the first inquiry through treatment acceptance and ongoing care. This role is responsible for lead management, patient consultations, treatment coordination, case management, and supporting practice growth by building strong patient relationships and improving case acceptance. The ideal candidate is highly organized, customer-focused, confident discussing treatment options and financial arrangements, and passionate about helping patients achieve their oral health goals. Key Responsibilities Lead Management Respond promptly to all new patient inquiries by phone, email, text, and online forms. Contact all leads within established response time goals. Conduct follow-up calls with unscheduled leads. Convert inquiries into scheduled consultations. Track lead sources and outcomes within the practice management system. Maintain consistent communication with prospective patients until treatment is scheduled or declined. New Patient Welcome and guide new patients throughout their first visit. Ensure a seamless and personalized patient experience. Explain the practice philosophy, services, and treatment process. Coordinate all necessary records, imaging, and paperwork prior to appointments. Serve as the patient's primary contact for questions and concerns. Consultation Coordination Prepare patients for consultation Review patient concerns, goals, and expectations. Assist during consultations as appropriate. Reinforce the doctor's treatment recommendations. Educate patients on procedures, benefits, and expected outcomes. Ensure patients understand recommended treatment plans. Case Management Coordinate each patient's treatment from diagnosis through completion. Develop individualized treatment timelines. Monitor treatment progress and ensure continuity of care. Follow up with patients who delay or postpone treatment. Treatment Acceptance Present treatment plans and financial options. Explain insurance benefits and estimated patient responsibilities. Address patient concerns that may delay treatment. Follow up on unscheduled treatment plans. Work toward established treatment acceptance goals. Support patients in making informed healthcare decisions. Recall & Patient Retention Contact overdue patients and assist with scheduling. Maintain recall effectiveness goals. Re-engage inactive patients. Build long-term relationships that encourage patient loyalty. Patient Communication Build trust through compassionate, professional communication. Respond promptly to patient questions and concerns. Resolve service issues in collaboration with the clinical team. Maintain confidentiality in accordance with privacy regulations. Document all patient interactions accurately. Administrative Responsibilities Maintain accurate patient records. Update patient information in the practice management software. Verify insurance information when required. Coordinate schedules with clinical and administrative teams. Prepare daily reports and KPI tracking. Marketing & Practice Growth Support internal marketing initiatives. Encourage patient referrals. Promote available services and specialty treatments. Participate in community outreach or patient appreciation events as requested. Monitor online inquiries and assist with patient reviews and testimonials.
