The Regional Activities Coordinator is a dynamic and leadership-focused professional responsible for the strategic planning, development, implementation, and oversight of all athletic programs and extracurricular activities across schools within the designated region. This role is crucial in fostering student engagement, student retention, promoting holistic development, and ensuring the success and integrity of all activities. This position requires a strong understanding of educational athletics and activities, excellent organizational and communication skills, and a commitment to student well-being and achievement.
Essential Duties and Responsibilities:
I.
Program Leadership & Development:
Develop and implement a comprehensive vision and strategic plan for regional athletics and activities, aligning with the district's educational goals. Oversee the recruitment, hiring, training, and evaluation of athletic clerical, coaches, advisors, and support staff for all athletic teams and activity groups. Ensure compliance with New Mexico Activity Association, district, and state regulations regarding eligibility, safety, and competition. Conduct training on rules, regulations, and policies that govern athletic and activity programs. Provide leadership in the development of philosophies of athletic and activity participation and retention, promoting sportsmanship, ethical conduct, and positive values among students, coaches, and staff. Provide leadership in the development of local policies and procedures for athletic and activity programs. Facilitate the organization and monitoring of interscholastic activities and athletics programs in the middle and high schools
develop and maintain a robust calendar of events, competitions, and performances for all regional activities.
Maintain positive public relations and communications with programs, fostering good school/community relationships. Monitor and evaluate the effectiveness of programs, implementing improvements as needed to enhance student participation and success. Attend athletic and activity events and/or coordinate representation for attendance by Event Operations Manager II.
Financial Management & Oversight:
Develop, manage, and monitor annual operating budgets for all regional athletic and activities programs. Assist in all revenue generation activities, including ticket sales, fundraising initiatives, concessions, and sponsorships, ensuring proper accounting and deposit procedures. Assist in reviewing and tracking expenditures, ensuring adherence to budgetary allocations and district financial policies. Follow established internal financial controls. Work with the Athletic Secretaries to generate financial reports for the principals and finance department, demonstrating fiscal responsibility and program sustainability. Assist in ensuring the timely and accurate processing of invoices, reimbursements, deposits, and payroll-related documentation for coaches and school athletic clerical. Collaborate with school principals and the finance department to ensure consistent financial practices across all sites. Identify opportunities for cost savings and revenue enhancement to optimize resource utilization. Ensure compliance with all local, state, and federal financial regulations relevant to school activities and athletics. Booster Club and Parent-Teacher Organizations (PTO)
Oversight:
Serve as the primary district liaison for all regional athletic and activity booster clubs and PTOs. Communicate and ensure strict adherence of all booster club/PTO activities, including fundraising, expenditures, and financial reporting, to district and board policies (i.e. Title IX compliance). Review booster clubs/PTOs ongoingly and address any non-compliance issues with booster clubs promptly and appropriately, escalating as necessary. Publish the names of those booster clubs which are in compliance with board policy in the student handbook for the school. III.
Staff Supervision and Management:
Provide ongoing guidance and support to the finance clerical staff member on all financial procedures, reporting, and compliance matters. Ensure the timely and accurate processing of invoices, reimbursements, deposits, and payroll-related documentation for coaches and school athletic clerical. Ensure all head coaches travel with student athletes and supervise the team during athletic competitions in assigned sports. Ensure that officials/referees are assigned to games and/or tournaments prior to the event. Prepare necessary reports for administration, school board and state agencies. Be responsible for proper processing of reports and claims for injuries to students who are participants in athletic or activity programs. Maintain a database (Rank One) of incidents involving athletics and activities, including complaints, injuries, etc. Survey the student body annually to determine athletic and activity programs of interest to students. Collaborate with building principals regarding eligibility issues. Attend NMAA meetings, when appropriate. Ensure all coaching staff are properly licensed and have a cleared background check with HR prior to their start date. Become certified to assist with training for athletic and activity sponsors. Schedule and coordinate professional development for athletic and activity staff, when requested. Complete and comply with all required training annually. Adhere to NM Code of Ethical Responsibility of the Education Profession (NMAC 6.60.9.8). Other duties as assigned, reasonably related to the scope of the position. IV.
Facilities & Equipment:
Coordinate with facilities management for the scheduling, maintenance, and safe operation of athletic fields, gyms, and other activity spaces. Collaborate with the finance department to oversee the inventory, procurement, and maintenance of all athletic equipment and activity supplies. Ensure all facilities and equipment meet safety standards and are conducive to a positive learning and competitive environment. Support district and school efforts to keep CCSD safe and secure. V.
Community & Public Relations:
Represent the region at local and state-level athletic and activities meetings and events. Foster positive relationships with parents, community organizations, and media outlets. Promote the achievements and positive impact of regional athletic and activity programs. Attend initial parent meetings for athletics and activities and additional meetings when requested. Develop and maintain athletic and activity handbooks, with input from parents and students.
Minimum Qualifications:
Master's degree Valid New Mexico Administrator License Valid New Mexico Coaching License Five (5) years coaching experience in middle and/or high school Five (5) years teaching experience in middle and/or high schoo
Knowledge, Skills and Abilities:
Knowledge of Dine language, culture, and history preferred Excellent leadership, communication, interpersonal, and organizational skills. Ability to work effectively with diverse stakeholders, including students, parents, staff, and community members. Knowledge and ability to administer athletic programs and activities in middle and/or high school Strong understanding of athletic regulations and best practices. Proven experience in budget management, financial oversight, and fiscal reporting. Proficiency in relevant technology and software, including financial management systems.
Physical/Job Requirements:
Standing, sitting, walking, lifting, carrying up to 50 pounds, climbing, bending, reaching, kneeling, driving a vehicle, traveling long distances, writing, typing, word processing, reading, researching information, and effective communication skills.
