Job Description

Overview The Intake Coordinator is one of the most crucial roles at Al-Van Humane Society. The Intake Coordinator serves as the first point of contact for incoming pets and ensures a smooth intake process. This position involves communicating with members of the community, managing patient information, coordinating appointments, and providing support to shelter staff. The ideal candidate will possess strong organizational skills, exceptional communication skills, excellent phone etiquette, and experience in a clinical or shelter setting. The ideal candidate is also able to multi-task, delegate assignments to other team members, and prioritize tasks efficiently. Schedule Monday through Friday 8am- 5pm Duties Works closely with the shelter veterinarian to create and implement treatment plans for shelter pets Inventory of medical and shelter supplies Schedule medical appointments for shelter pets with local veterinarians Schedule/coordinate spay and neuter procedures for shelter pets with local veterinarians Medical assessment of all pets during the intake process Record keeping and data entry of all intakes Record keeping and data entry of all medical treatments Create medical treatment sheets, fill medications, and administer medications Administer vaccinations subcutaneously Manage the intake of incoming shelter pets Involved with animal enrichment and husbandry of all shelter pets Work closely with South Haven Police Officers and Animal Control Officers regarding the intake of stray animals Create media posts of all stray animals brought through the intake center Maintain "Lost and Found" reports for all stray pets Create and monitor identification cards of all shelter pets Coordinate the fostering of medical shelter pets Coordinates the transfer of pets from the intake center to the adoption center Work with the shelter veterinarian and Executive Director to create and implement medical and facility protocols Monitors facility maintenance and reports to Executive Director Requirements Exceptional customer service skills and communication skills Ability to interact effectively with healthcare professionals Previous experience in a veterinary or shelter setting preferred Familiarity with data entry and medical records Familiarity of medical terminology Strong organizational skills with the ability to manage multiple tasks simultaneously. Excellent phone etiquette Attention to detail to ensure accuracy in medical treatments and procedure schedules Ability to work collaboratively within a team-oriented environment while maintaining a high level of professionalism.
