PATIENT SERVICES REPRESENTATIVE IVA, SC

This position is responsible for the registration of patients, collection and posting of patient payments, appointment scheduling, and completion of defined financial duties under the guidance of the Practice Manager. Position will be responsible for following up on referrals and sending out medical records upon request. The individual that best fits this position will possess a high understanding of medical terminology, insurance experience, phone etiquette, patient services, and high attention to detail and experience working with EMR systems.

ESSENTIAL JOB FUNCTIONS

Ensures the readiness of the reception area for each working day; opens the building at the designated time and has all front desk activities fully operational at the start of business hours. Greets patients, staff and visitors in a pleasant and professional manner. Answers telephone, screens callers, relays messages in a timely and professional manner. Obtains precertification as required by health care plans and/or managed care providers. Collects patient payments and posts monies according to established procedures. Maintains patient account information by obtaining, recording, and updating personal demographics and financial information as required. Determines sliding fee discount eligibility for patients based upon established criteria; certifies or recertifies continued eligibility according to established policy and procedures. Accurately adds new insurance companies to the patient accounting system as required. Prepares deposit and balances financial records daily; submits all required forms and monies to the finance department. Checks end of day for errors and double postings; corrects errors and reports any discrepancies to the Practice Manager. Reconciles on a daily basis total charges and collections entered to the patient accounting system to actual cash collection and patient encounter forms. Performs end- of-day and end-of-month tasks and reporting. Must be able to rotate with other staff to work later working hours (Tuesdays).. Secures the building at the close of each working day, as needed (e.g., turn off or unplug appliances and machines, activate alarm system, lock all entrances.) Completes all in-service training as required. Maintains patient confidentiality at all times. Scans medical records and responds to record and document requests. Performs any other duties as assigned by the Practice Manager or designee in their absence. Track and enter all referral requests in the Referral Tracking System or EMR on a daily basis. Coordinate with the HIM staff to track the status of all provider reports on patients referred to hospitals, outside clinics and Specialty Providers and follow up for reports/records not received on referred patients. Maintain an accurate records of external referral patient's appointments that are kept, failed, and current status in the Referral Tracking System or EMR; Monitor Referrals. Provide Intensive tracking and follow-up on all patients designated as needing Intensive Produce an accurate bi-weekly report of all clients designated as needing, (Intensive Tracking), which documents efforts, results, and status of each patient. Respond to In-house provider questions, requests and concerns regarding the status of patient referrals, care coordination or follow-up status. Answer, respond and document phone calls, request and questions from patients in a timely manner. Calls must be accurately managed or redirect as appropriate. Process medical records request in a timely manner. Track medical records being sent out for payments. Fill in at other office locations as necessary.

REQUIRED MINIMUM QUALIFICATIONS

A minimum of high school diploma or equivalent. One (1) year prior experience in medical office is required. Experience working with electronic medical records (EMR) is required. Valid South Carolina driver's license is required due to required travel to attend company meetings, events, and working at another location. Must have knowledge of basic medical terminology and medical insurance. Must be able to accurately perform arithmetic tasks. Must be able to exercise flexibility as patient flow changes. Must be able to establish and maintain effective, productive relations and communications with co-workers, supervisors, patients, and the public. Able to comprehend and follow in detail both verbal and written instructions. Able to effectively use the patient management system as required for successful completion of above described job duties. Ability to speak fluent Spanish.
