The Science Mill is looking for a highly organized, customer-focused Registrar to join our team in Johnson City, Texas. The Science Mill is a nonprofit, interactive STEM museum located in the heart of the Texas Hill Country. Through hands-on exhibits and innovative STEM experiences, we spark curiosity, build confidence, and help young people see themselves in future STEM careers—especially students in rural and underserved communities. We are a small, mission-driven team with a big vision, and we are looking for someone who enjoys working with people, takes ownership of their responsibilities, and understands that a great visitor experience often begins with the very first phone call or email.
ABOUT THE ROLE
The Registrar serves as the primary point of contact for Field Trips, Group Visits, Birthday Parties, and Outreach program reservations. From the initial inquiry through the completion of a visit or program, you will manage the reservation details, communicate with teachers, school administrators, families, and community organizations, and help ensure each experience is well organized from start to finish. This position reports to the Education Administrator and works closely with our Education, Museum Operations, and other Science Mill teams.
WHAT YOU'LL DO
Manage Field Trip, Group Visit, Birthday Party, and Outreach inquiries and reservations. Serve as a friendly and knowledgeable point of contact by phone, email, and in person. Guide customers through the reservation and scheduling process. Collect and maintain accurate attendance, scheduling, program, and contact information. Maintain accurate calendars, reservation records, and program documentation. Prepare and distribute reservation confirmations, schedules, and visit information. Proactively follow up with customers regarding missing information and upcoming reservations. Welcome scheduled groups and assist with group check-in. Support group leaders and customers during their Science Mill experience. Communicate reservation details, changes, and special requests to the Education Administrator and appropriate team members. Maintain accurate attendance and participation records. Assist with reservation and participation reports as requested. Identify opportunities to improve reservation processes and administrative workflows. Jump in and support the Science Mill team during busy museum periods, large group visits, and special events.
WHAT WE'RE LOOKING FOR
We are looking for someone who is: Exceptionally organized and detail-oriented. A strong verbal and written communicator. Friendly, professional, and customer-focused. Comfortable managing multiple reservations, deadlines, and priorities. Proactive and willing to follow up before someone has to ask. Able to work independently and take ownership of responsibilities. Comfortable learning new software and database systems. Experienced with Microsoft Office and/or Google Workspace. Flexible and comfortable working as part of a small, collaborative team. Previous experience in reservations, registration, scheduling, customer service, school administration, or a similar administrative role is preferred. Experience working with schools, youth programs, museums, nonprofits, or community organizations is a plus. Experience with CRM, registration, ticketing, or reservation management systems is also a plus. Bilingual English/Spanish skills are a plus.
SCHEDULE AND WORK ENVIRONMENT
This is a full-time position based primarily on-site at the Science Mill in Johnson City, Texas. Occasional weekend and holiday work is required based on museum operations, scheduled programs, and special events. Following successful completion of an initial 90-day training period, this position may be eligible for a hybrid work schedule based on job performance, demonstrated ability to work independently, departmental needs, and supervisor approval. Some scheduling flexibility is required to support Field Trips, Group Visits, Birthday Parties, Outreach programs, and other organizational needs.
