This is a senior-level role for someone with strong direct experience in high-end plastic surgery. The right candidate must be able to host virtual surgical consultations independently, understand patient goals, review patient photos and case details with the surgeon, translate the surgeon's recommendations into accurate quotes and clear next steps, follow up with quoted patients, and help move appropriate candidates toward booking. This role also requires leadership. The person in this position will supervise administrative staff, enforce standards, improve consistency, strengthen follow-through, and bring a higher level of ownership, accountability, and operational discipline to the practice. The role will also support key human resources functions, with particular responsibility for recruiting strong candidates, evaluating staff performance, and coaching employees toward continued improvement. This is not a basic coordinator role. It is for someone mature, organized, sharp, and experienced enough to lead both the surgical coordination process and the day-to-day administrative side of the practice. Key Responsibilities Surgical Coordination Host virtual surgical consultations independently Coordinate in-person surgical consultations and related follow-up Understand patient goals, concerns, and motivations, and communicate relevant case details clearly to the surgeon Review patient photos, anatomy, and case details with the surgeon Translate the surgeon's recommendations into accurate quotes, scheduling next steps, and case coordination Follow up with quoted patients in a timely and professional manner and help move appropriate candidates toward booking Coordinate surgery dates, pre-op appointments, post-op appointments, and related scheduling Manage cancellations, reschedules, and openings with urgency, accuracy, and strong follow-through Communicate clearly with patients regarding logistics, timing, recovery planning, travel planning, and next steps Help ensure the consult-to-surgery process is organized, efficient, and conversion-minded Practice Management & Human Resources Supervise administrative and patient-facing staff Hold staff accountable for responsiveness, professionalism, follow-through, and consistency Train and coach staff on communication standards, patient handling, workflow, and daily execution, with a focus on continued improvement Identify weak execution, missed follow-up, poor handoff, and avoidable operational mistakes Reinforce structure, standards, and accountability across the office Take an active role in recruitment, including sourcing candidates, reviewing resumes, screening applicants, and participating in interviews Support onboarding and training of new employees Conduct or participate in staff performance evaluations and provide clear, constructive feedback and coaching toward improvement Follow up on performance concerns to evaluate improvement and support further action when needed Support other day-to-day HR responsibilities, including employee documentation and performance management Serve as the operational bridge between the surgeon and the administrative team Operations Oversee day-to-day office workflow and administrative operations Ensure systems and processes are being followed correctly and consistently Monitor scheduling flow, quoting flow, and patient coordination flow for accuracy and efficiency Help reduce rework, confusion, and preventable errors Take ownership of operational problems and drive them to resolution Maintain a calm, professional, high-accountability office environment Qualifications Minimum 5 years of direct experience in high-end plastic surgery is required Candidates without direct high-end plastic surgery experience will not be considered Strong experience with surgical coordination, quoting, consult follow-up, and surgery scheduling Prior experience in a senior coordinator, leadership, or management role Experience recruiting, interviewing, onboarding, evaluating, and coaching staff Strong experience hosting virtual surgical consultations Strong understanding of plastic surgery patients, their concerns, and the consult-to-booking process Demonstrated ownership, accountability, and strong follow-through Strong judgment, maturity, and problem-solving ability Excellent verbal and written communication skills Ability to work closely with a surgeon in a fast-paced private practice environment Strong organizational skills, attention to detail, and operational discipline Comfortable supervising staff, evaluating performance, addressing weak performance, providing constructive coaching toward improvement, and enforcing standards Experience with CRM, EMR, scheduling software, and office systems used in plastic surgery practices

From $35.00 per hour Expected hours: 40.0 per week
