POSITION SUMMARY
The Center Experience Coordinator plays a critical role in the day-to-day success of Brain Balance of Littleton. Reporting to the Littleton Executive Director, this in-center, part-time hourly position oversees the front office, family customer experience, community engagement, and digital marketing efforts for the center. This role is ideal for a highly organized, people-centered professional who enjoys wearing multiple hats and balances administrative excellence, relationship-building, and creative digital engagement. Strong emotional intelligence and a warm, professional presence are essential, as this individual is often the first and most consistent point of contact for prospective and enrolled families. ESSENTIAL DUTIES AND RESPONSIBILITIES
Center Operations & Client Experience Facilitate a positive, welcoming experience for students and families ranging from age 4 through adulthood. Serve as the primary front desk presence, greeting families and ensuring smooth session flow. Manage phone, online, and in-center inquiries, and support enrollment efforts in partnership with the Executive Director. Schedule assessments and sessions in coordination with the Executive Director. Maintain a welcoming, organized, and professional lobby and center environment. Communicate professionally with building management, neighbors, and facilities as needed. Perform light janitorial and organizational duties to support daily center operations. Family, Student & Community Engagement Build and maintain strong, trusting relationships with enrolled families, students, and adult participants. Ensure each student and parent or guardian receives an exceptional, supportive experience at every visit. Assist in planning and coordinating family and community events. Support outreach efforts with local schools, healthcare providers, therapists, homeschool organizations, parent groups, and other referral partners. Research potential schools/providers/therapists/community partners and events. Assist with initial outreach and follow-up, and track activity and results. Maintain community/referral database Represent Brain Balance professionally at community activities, workshops, and events as needed. Digital Marketing & Social Media Create, schedule, and manage engaging content across social media platforms, including Instagram, Facebook, TikTok, and LinkedIn. Develop original photo and video content highlighting students, families, staff, and center activities. Monitor social media accounts, respond to messages and comments, and actively engage with followers. Support brand visibility and community awareness through consistent, authentic digital presence. Promote center events, educational resources, and appropriate success stories to strengthen local engagement. Administrative & CRM Support Maintain accurate, timely data entry, CRM records, and documentation across the family and prospect pipeline. Maintain administrative discipline around the pipeline, including timely inquiry response, CRM accuracy, lead-source tracking, assessment scheduling/reminders, and diligent follow-up of all opportunities. Maintain confidentiality and discretion when handling family and student information.

QUALIFICATIONS
Education and Experience High School diploma/GED; Bachelor's degree preferred, but not required. 2+ years of experience in office management, customer service, digital marketing, or a client-facing administrative role. Experience with social media content creation and familiarity with platforms such as TikTok, Instagram, and Facebook. Knowledge, Skills, and Abilities Proficiency with Google Workspace and comfort learning new technology and business systems, including CRM platforms. Strong organizational skills and attention to detail in a fast-paced environment. Excellent verbal and written communication skills. High emotional intelligence, including empathy, self-regulation, and social awareness. A genuine commitment to the care and well-being of children and families. Flexibility, initiative, and a proactive, positive attitude. Ability to successfully pass a background check and complete all child safety requirements.
SCHEDULE, WORK LOCATION & TRAVEL
This is a part-time, hourly, in-center position at Brain Balance of Littleton. Regular afternoon and evening availability is required to support families during peak center hours. Occasional weekend availability may be required for community events, center activities, or other business needs. Schedule requirements may evolve as enrollment, staffing, and center operating hours grow. Minimal travel is expected; occasional local travel may be required for community events or outreach activities.
WORK ENVIRONMENT AND PHYSICAL DEMANDS
This position is primarily performed in a center-based office and program environment. The physical demands described below represent those generally required to successfully perform the essential functions of the position. Occasional jumping or active participation in center activities may be required. Must occasionally lift or move items weighing up to 50 pounds. Regular use of computers, phones, CRM systems, and standard office equipment.
COMPENSATION AND BENEFITS
Compensation is designed to reflect experience and the critical role this position plays in the center's success. The compensation and benefits package may include: Hourly compensation based on experience ($20.00 - $22.50 per hour). Paid holidays and paid time off.
