Full-Time / Part-Time Position Summary Greater Essex Counseling Services is seeking a professional, dependable, and patient-focused Access Associate for our Newark location. The Access Associate will serve as one of the first points of contact for patients, visitors, and staff and will help maintain a safe, welcoming, and organized environment. This position is responsible for front-desk operations, patient access, appointment and administrative support, answering phones, monitoring the facility entrance, and assisting patients with questions or check-in needs. The ideal candidate is professional, calm, organized, comfortable working with individuals receiving behavioral health services, and able to always maintain confidentiality and appropriate boundaries. Key Responsibilities Front Desk & Patient Access Greet patients and visitors in a professional, respectful, and welcoming manner. Monitor the facility entrance and assist with controlled access to the building. Verify patient arrival and direct patients to the appropriate area or staff member. Assist patients with check-in and basic administrative questions. Manage the front entrance and coordinate with clinical and administrative staff when patients arrive. Operate the facility's access-control system, including RFID/key-card access and door-release systems. Monitor the front-door camera/intercom system and allow authorized patients and visitors into the facility. Follow established procedures for visitors, vendors, staff, and other individuals entering the facility. Immediately report suspicious, unsafe, or unauthorized activity to management. Telephone & Administrative Support Answer and route incoming telephone calls professionally. Take accurate messages and communicate them to the appropriate staff. Assist patients with basic scheduling, appointment, and administrative questions. Maintain accurate front-desk records and documentation. Assist with scanning, copying, filing, and other administrative tasks. Support the office with patient forms and other non-clinical paperwork. Maintain an organized and professional reception area. Patient Support Treat all patients with dignity, respect, patience, and professionalism. Provide clear directions and basic information regarding office procedures. Assist patients who may be anxious, confused, upset, or having trouble navigating the office. Maintain appropriate professional boundaries with patients. Escalate clinical, behavioral, or safety concerns to the appropriate supervisor or clinical staff rather than attempting to handle them independently. Safety & Security Follow all facility security and emergency procedures. Maintain awareness of activity in the reception and entrance areas. Never provide unauthorized individuals access to restricted areas. Follow procedures for emergency situations, disruptive behavior, or potential safety concerns. Notify management or appropriate emergency personnel when required. Maintain confidentiality and always protect patient information. HIPAA & Confidentiality Maintain strict confidentiality of patient information and protected health information (PHI). Follow HIPAA and Greater Essex Counseling Services policies and procedures. Do not discuss patient information in public areas or with unauthorized individuals. Secure documents, computer screens, and other information containing confidential patient data. Complete required privacy and HIPAA training.
Qualifications Required:
High school diploma or equivalent. Strong communication and interpersonal skills. Professional and courteous demeanor. Ability to work in a behavioral health environment. Ability to maintain confidentiality. Basic computer skills. Ability to multitask in a busy front-office environment. Reliable attendance and punctuality. Ability to remain calm and professional when dealing with difficult or stressful situations.
Preferred:
Previous experience in a medical, behavioral health, healthcare, or social-services setting. Previous front-desk, receptionist, patient-access, security, or administrative experience. Experience with electronic health records (EHR) systems. Experience with access-control, RFID, camera, or intercom systems. Bilingual English/Spanish or other languages commonly spoken in the Newark community is a plus. Physical & Work Requirements Ability to sit or stand for extended periods. Ability to work at a computer and telephone for extended periods. Ability to move around the reception and office areas as needed. Ability to respond appropriately to unexpected situations and follow emergency procedures. Communicate respectfully with patients, families, visitors, and coworkers. Follow all Greater Essex Counseling Services policies and procedures. Protect patient privacy and confidential information. Maintain appropriate boundaries with patients. Work collaboratively with clinical, administrative, and management teams. Immediately communicate safety, security, or patient-related concerns to the appropriate supervisor. Important This position is an administrative/access role and does not provide clinical services. The Access Associate should not provide counseling, clinical advice, diagnosis, treatment recommendations, or attempt to manage clinical situations outside the scope of the position.
