Events Administrator The Urban Stillhouse by Horse Soldier Bourbon - St. Petersburg, FL $25/hour + 5% Commission The Urban Stillhouse by Horse Soldier Bourbon is seeking a highly organized, proactive, and detail-driven Events Administrator to join our growing Events Department. About The Urban Stillhouse Events Department Since opening the restaurant in August 2020, our St. Petersburg location has grown into a high-volume dining and hospitality destination, while our Events Department has simultaneously developed the property into a major private-events operation with more than 3,500 events hosted in six years. Our portfolio ranges from intimate group dining and cocktail receptions to weddings, corporate events, and large-scale private experiences, with the ability to host as many as 14 events simultaneously throughout our 16,000 sq. ft. venue. As the flagship of a growing multi-location brand, the St. Pete team continues to evolve alongside the broader company. About The Position The Events Administrator provides essential administrative support across Event Sales and Event Coordination , helping keep client communication, event records, documents, payments, deadlines, and internal resources accurate, organized, and current. This position works closely with our Event Sales Director, Director of Events, and Operations team and offers meaningful exposure to private-event sales, planning, systems, and hospitality operations, with room to grow as the department and brand continue to expand. What You'll Do Manage routine Events Department phone, email, and client communication Monitor incoming inquiries and assist with lead intake, routing, scheduling, and follow-up Maintain accurate event, account, contact, task, and booking information in Tripleseat Track guest counts, BEO questionnaires, menu selections, payments, contracts, deadlines, and other outstanding event information Send routine client reminders and administrative follow-up Support deposit, payment, receipt, and reconciliation documentation Review upcoming events for missing information, approaching deadlines, or administrative gaps Maintain event calendars, internal trackers, Daily Event Flags, templates, files, and department resources Assist with organization of vendor documentation, COIs, rentals, photo galleries, sales materials, and other event resources Support event-week preparation and communication across Events, Operations, Culinary, Beverage, and Event Leads Maintain organized department systems, shared resources, and recurring administrative workflows Support the Event Sales Director and Director of Events with ongoing department projects and initiatives Take on designated sales or coordination responsibilities as assigned and proficiency develops Organize proposals, contracts, menus, BEOs, event packets, and supporting documents as assigned and proficiency develops What We're Looking For Exceptional attention to detail and follow-through Strong organization and time-management skills Ability to independently manage multiple priorities and deadlines Excellent written and verbal communication Professional, thoughtful, and client-focused communication Strong problem-solving skills and sound judgment Ability to identify missing, conflicting, or incomplete information Confidence following up on deadlines and outstanding client needs Ability to remain organized and composed in a high-volume workflow Comfortable learning new technology, systems, and processes quickly Strong working knowledge of digital files, spreadsheets, and online platforms Ability to self-lead while collaborating effectively with teammates and leadership Proactive mindset and willingness to identify opportunities for improvement Experience 1-2+ years of relevant experience in administrative support, events, hospitality, sales support, client services, project coordination, office coordination, catering, or private events is preferred. Experience with Tripleseat or another CRM/event-management platform, Google Workspace, Canva, Toast, OpenTable, BEOs, proposals, contracts, or similar systems is a plus. Relevant education in Hospitality Management, Business Administration, Communications, Public Relations, or a related field is beneficial but not required with applicable professional experience.
